About the position

The part-time Retirement Plan Onboarding and Conversion Specialist is responsible for ensuring a seamless transition for clients from engagement through full onboarding. This role involves coordinating with the sales team and Retirement Plan Specialists, confirming account setups, managing document collection, and ensuring clients understand their retirement plan responsibilities. The specialist will also supervise new client setups, communicate with prior service providers, and assist in training sessions for clients and staff.

Responsibilities

  • Supervise new client setup and/or conversions from other pension firms or platforms.
  • Coordinate and follow up with other departments to ensure client's needs are met holistically.
  • Communicate efficiently with prior service providers and clients to gather plan document information and takeover data.
  • Create preliminary client files within the pension compliance software.
  • Act as a liaison with company staff, answering questions and facilitating decision-making related to onboarding issues.
  • Aide in the development of systems, products, or operational documentation regarding new client training and onboarding.
  • Coordinate, schedule, and conduct training sessions for clients and staff, explaining pension conversions and procedures.
  • Process pension documents in accordance with existing policies and procedures as needed.
  • Provide regular reports and updates to the executive team on onboarding and conversion performance.
  • Support the Retirement Plan Specialists for successful handoff between sales and onboarding to full servicing.

Requirements

  • AA Degree in Finance, Accounting, or other similar degree
  • 3 - 5 years of pension experience working with multiple recordkeeping platforms
  • 3 - 5 years of bookkeeping or payroll experience in a tax environment helpful
  • Knowledge of state and federal pension tax laws
  • Ability to maintain confidentiality and exercise extreme discretion
  • Excellent problem-solving/judgment skills, and a high level of attention to detail and accuracy
  • Strong organization skills, and the ability to work under pressure
  • Strong written/verbal communication, interpersonal and relationship-building skills
  • Strong client relationship skills
