About the position

The Revenue & Marketing Coordinator plays a crucial role in supporting the Director of Revenue and the Director of Marketing at CoralTree Hospitality. This position is designed for a temporary full-time engagement, where the coordinator will be responsible for various tasks that ensure the smooth operation of revenue management and marketing initiatives. The coordinator will work closely with the Director of Revenue to track daily activities related to group bookings, ensuring that all reservations and group room blocks are accurately set up according to contract and resume requirements. Additionally, the coordinator will assist the Director of Marketing in promoting brand awareness both internally and externally, while executing marketing initiatives under strategic guidance. In this role, the coordinator will receive and enter all rooming lists, monitor cut-off dates, and provide weekly updates to the revenue and marketing teams. They will also be responsible for monitoring attrition collection and no-show/cancellation revenue for all groups, requiring a monthly report. The coordinator will gather necessary information from guests and clients to confirm reservations and assist in building leisure rate plans. Project and program coordination will be a significant part of the role, ensuring that timelines, processes, and deliverables are met for accurate and up-to-date content promotion across various platforms. The coordinator will also coordinate email communications to support operational needs, maintain website content, and monitor competitor websites for relevant updates. They will assist with media visits, site tours, and photoshoots, while ensuring that all marketing and brand initiatives comply with the resort's standards. The role requires maintaining accurate files and systems, answering questions about property services, and having comprehensive knowledge of hotel facilities and services. The coordinator will participate in weekly meetings with the Directors of Revenue and Marketing, contributing to the overall success of the marketing and revenue strategies.

Responsibilities

  • Receive and enter all rooming lists.
  • Monitor cut-off dates, group pick-up, and provide weekly information to revenue and marketing team.
  • Monitor attrition collection and no-show/cancellation revenue for all groups, monthly report required.
  • Work with clients to gather necessary information and confirm reservations.
  • Assist with building leisure rate plans.
  • Coordinate timelines, processes, and deliverables for accurate content promotion.
  • Coordinate email communications for operational needs.
  • Maintain website content and ensure updates are completed promptly.
  • Monitor competitor websites and relay relevant updates to leadership.
  • Assist with coordination of media visits, site tours, and photoshoots.
  • Assist with the development of quality, on-brand creative projects as needed.
  • Ensure resort marketing and brand marketing compliance.
  • Maintain and update intellectual brand assets.
  • Maintain accurate files and systems.
  • Answer questions about property, services, and room accommodations.
  • Review wholesale reservations and pick-up reports.
  • Attend group pre-con meetings and participate in weekly pick-up meetings.

Requirements

  • Experience in revenue management or marketing coordination.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively with various teams and departments.
  • Proficiency in using reservation systems and marketing tools.
