About the position

The Rooms Controller at Four Seasons is responsible for managing the hotel's room inventory, ensuring efficient room flow, and maximizing room availability. This role involves close collaboration with the Front Desk, Reservations, and Housekeeping teams to maintain seamless guest experiences and operational efficiency.

Responsibilities

  • Manage and assign guest room blocks based on guest preferences, VIP status, and operational needs.
  • Collaborate with the Housekeeping department to ensure that rooms are cleaned and inspected in a timely manner to meet arrival expectations.
  • Monitor the status of rooms in the hotel's Property Management System (PMS) and coordinate with Front Desk and Housekeeping teams to resolve discrepancies.
  • Review daily arrivals and ensure all special requests are fulfilled, including room upgrades, connecting rooms, and accessibility needs.
  • Communicate with guests and internal teams to accommodate last-minute changes, requests, or extended stays.
  • Utilize PMS and other hotel management software to run daily inventory reports, manage overbooking situations, and update room statuses as needed.
  • Assist the Front Desk team during high occupancy or heavy check-in/out periods by managing room assignments and addressing guest inquiries.
  • Work closely with the Sales and Events teams to allocate rooms for group bookings and ensure accurate room block management for events.

Requirements

  • At least 1 year of hotel front desk/reception experience, preferably in a luxury hotel or resort.
  • Excellent personal presentation and interpersonal skills.
  • Strong time management skills: ability to multi-task, set priorities, and adjust to changing conditions.
  • Willing to work in a fast-paced environment.
  • Ability to operate all computer equipment necessary to perform the job; knowledge of Microsoft Office Suite, Opera, and HotSOS preferred/is a plus.
  • Excellent communication and interpersonal skills; ability to work closely with other departments and communicate clearly and effectively with colleagues and guests.
