About the position

The Technical Event Staff position at the State of Indiana involves overseeing the setup, maintenance, and operation of event-related equipment, particularly audio-visual tools. The role requires strong leadership skills to manage event staff and ensure the smooth execution of events under the supervision of the Program Director. This position is part of a 24/7 operation, necessitating flexibility in scheduling, including weekends.

Responsibilities

  • Supervise the use of event equipment and supplies.
  • Serve as Manager on Duty as scheduled.
  • Organize daily floor activities to ensure timely setup, refresh, and removal of equipment.
  • Clean and maintain Audio Visual equipment, reporting damages and misuse to the Event Management Supervisor.
  • Lead the team in proper security, storage, transportation, and all event equipment handling.
  • Perform preventative maintenance on equipment to keep it presentable and in good working condition.
  • Ensure equipment is safe and working in accordance with Health, Fire, Safety, and Regulatory guidelines.
  • Participate in physical inventory count processes as requested.
  • Notify manager of concerns with any equipment.
  • Responsible for the setup of all event equipment.
  • Arrange work production to meet daily workflow and short/long term goals.
  • Inspect all work tasks for quality assurance and completion.
  • Complete needed reports, including daily activity inspection.
  • Work independently.
  • Assist in training event staff on all floor activities and event service expectations.
  • Keep concise inventory.
  • Dust office spaces, common, and public areas to meet Conference Center Management standards.
  • Clean carpeted areas using spot cleaning and/or carpet extraction equipment.
  • Clean all event equipment.
  • Remove trash and recyclable materials from office spaces, common, and public areas.
  • Report maintenance concerns to supervisor.
  • Perform special tasks related to event duties, including furniture cleaning and linen upkeep.
  • Set up and operate all audio-visual equipment.
  • Perform other related duties as assigned.

Requirements

  • Thorough knowledge of standard processes, practices, and procedures of the event trade.
  • Advanced knowledge in the operation of sound equipment.
  • Responsible for accurate and timely setup, operation, and breakdown of intermediate audiovisual equipment.
  • Ability to meet with guests on-site to ensure their needs are met and equipment setup is working properly.
  • Troubleshoot technical issues and resolve problems quickly as they arise.
  • Ability to supervise, motivate, and direct the work of event staff.
  • Use and maintain assigned equipment including sound mixers, speakers, and microphones.
  • Monitor events and check in on customers throughout the day.
  • Maintain good working relations with employees, department heads, and other staff.
  • Keep and maintain records and prepare progress reports.
  • Ability to maintain a high level of confidentiality when working with high-level offices.
  • Perform non-routine repairs as instructed by a supervisor.
  • Make appropriate decisions without assistance from an immediate supervisor.
