About the position

The Safety Admin Assistant at Mercer Valve Co., Inc. is responsible for providing specialized administrative and office support functions under general supervision. This role involves technical and administrative work that supports the core functions and processes of the department, including data entry, report generation, and project management assistance for the Safety Manager.

Responsibilities

  • Perform technical and administrative work in support of the department's core functions and processes.
  • Generate and formulate reports and records.
  • Conduct data entry and provide software support as required based on company, customer, and project demands.
  • Interact with other employees on technical and/or sensitive matters.
  • Design, organize, and maintain specialized forms, records, reports, files, and logs to support work processes in the areas of assigned responsibility.
  • Design, develop, and maintain spreadsheets requiring data interpretation.
  • Create, maintain, and update file indexes.
  • Perform research for purchasing designated office supplies, equipment, materials, and/or services; obtain and prepare requisitions and purchase orders.
  • Schedule meetings and prepare and/or assemble meeting materials from rough notes, drafts, dictation, or oral instructions.
  • Type, format, edit, revise, proofread, and print reports, correspondence, technical charts, tables, and other specialized materials ranging from routine to complex.
  • Perform other administrative support functions for supervisors and staff.
  • Copy, compile, and distribute reports, documents, and other materials.
  • Serve as backup to communication technician.
  • Support the Safety Manager with project management tasks on various projects.
  • Organize and set priorities while taking the initiative to exercise sound independent judgment within areas of responsibility.
  • Prepare clear, accurate, and concise records and reports.
  • Use tact and discretion in dealing with sensitive issues.
  • Establish and maintain effective working relationships with all employees.

Requirements

  • Proficient with Microsoft software such as Excel, Word, Access, and other standard software.
  • Proficiency with Ten Key.
  • Ability to type 30 WPM accurately.
  • Excellent organizational skills.
  • Detail-oriented and able to prioritize tasks.
  • Knowledge of office administration practices and procedures.
  • Comprehensive understanding of sound business communication.
  • Excellent oral and written communication skills, with proper grammar usage.
  • Knowledge of current technologies with the ability to research and understand terminology.
  • Ability to work individually or in a team environment.
  • Knowledge of record keeping, filing, and purchasing practices and procedures.
  • Ability to safely and legally operate a motor vehicle based on state and local requirements.
