About the position

The Sales Administration Coordinator plays a crucial role in ensuring the timely and accurate processing of crane sales while adhering to industry standards and best practices. This position involves collaboration with various departments, including Sales, Accounting, and Customs, to facilitate smooth operations and maintain compliance with regulations.

Responsibilities

  • Work closely with Sales Administration Sr. Coordinators, Supervisor and Manager to ensure business runs smoothly.
  • Update and maintain sales reports and inventory reports.
  • Process files of incoming equipment.
  • Provide appropriate customs clearance documentation to brokers (i.e. EPA sheets, invoices, bills of ladings).
  • Process files of outgoing equipment.
  • Collect and file UCC Customer Security Agreements.
  • Issue purchase orders for machines.
  • Prepare spending authorization forms as needed.
  • Update or create schedules and reports on an as needed basis.
  • Maintain and file inventory paperwork and machine records.
  • Process invoices or arrivals of capital equipment.
  • Review all files to ensure JSOX compliance and applicable revenue recognition rules.
  • Maintain sales tax certificates from customers.
  • Maintain correspondence received from customers.
  • Provide assistance on North American and Latin American business as required.
  • Assist and communicate with other departments as necessary.

Requirements

  • Bachelor's Degree or Post-secondary education with 5 or more years of related heavy equipment experience preferred.
  • High school diploma with ten years or more of related experience is required.
  • Strong knowledge of US-Customs related laws and regulations.
  • Strong knowledge of US-Customs forms and practices.
  • Proven ability to read and understand drawings, schematics, and other technical documentation.
  • Proficient with Microsoft Office Suite or related software.
  • Experience with SAP or other ERP business systems preferred.
  • Experience with import and export operations is a strong plus.
  • Proven understanding of monthly, quarterly, annual requirements for sales targets, and budgetary goals.

Nice-to-haves

  • Bilingual in Japanese, Spanish, or Portuguese a plus.
