About the position

The Sales Administration Manager at North Wind Site Services is responsible for managing all Request for Proposal (RFP) and Request for Quotation (RFQ) processes, ensuring that estimating, contracts, and proposal managers are effectively engaged. This role involves conducting market intelligence and reporting, supporting sales with proposals, and maintaining relationships with key clients. The position also requires participation in risk analysis and bid decisions, overseeing the proposal phase, and providing project dossiers to Operations upon contract award.

Responsibilities

  • Manage all RFP/RFQ submissions to the company, ensuring proper assignment of estimating, contracts, and proposal managers.
  • Co-lead green teams to account for risks and competition bidding behaviors.
  • Support Sales with proposals and market collateral.
  • Conduct industry research and analysis to provide strategic insights and alternatives.
  • Implement strategic direction set by the Business Line Group President and Chief Business Development Officer.
  • Develop and support marketing strategies, attending briefings, meetings, and conferences.
  • Foster long-term relationships with core clients and maintain connections with key decision-makers.
  • Stay updated on industry developments and regulatory changes affecting the business line.
  • Participate in risk analysis, bid/no-bid decisions, and proposal setup and review.
  • Ensure accurate data management within the pipeline management system.
  • Lead and participate in gate reviews, competitive assessments, and price-to-win efforts.
  • Review RFP requirements to support bid decisions and oversee proposal delivery.
  • Prepare or review Teaming Agreements and provide project dossiers to Operations upon contract award.
  • Assist estimators with pricing from suppliers and subcontractors.
  • Support all administrative needs for project chase and capture.

Requirements

  • Bachelor's degree in science, engineering, or business.
  • Minimum of 5 years' experience responding to a high volume of RFP/RFQs.
  • Superior organizational, follow-up, and detail-oriented skills.
  • Ability to manage multiple projects and deadlines effectively.
  • Excellent interpersonal skills and professional demeanor.
  • Strong decision-making and problem-solving abilities.
  • Ability to work under pressure and prioritize workload.
  • Ability to work independently and in a team environment with minimal supervision.
  • Proficiency in Microsoft Office / Office 365 software suite.
  • Decisive leadership skills and understanding of profit and loss drivers on projects.
