About the position

The Sales Administrator at CBIZ is responsible for supporting the sales and customer success departments by managing various administrative functions. This role involves processing and tracking contracts, sales orders, and related documents, ensuring accuracy and compliance with company policies. The ideal candidate will demonstrate strong multitasking abilities, attention to detail, and a commitment to high-quality service for both internal and external stakeholders.

Responsibilities

  • Review contracts for completeness and accuracy, ensuring compliance with company policies.
  • Manage contract renewals and subscriptions, ensuring timely communication of key renewals.
  • Process sales orders accurately and coordinate with internal teams for fulfillment.
  • Conduct regular audits of contracts and sales orders for compliance and accuracy.
  • Manage and process change orders, ensuring clear communication with relevant departments.
  • Maintain accurate records of sales contracts and orders for easy retrieval and compliance.
  • Assist sales teams with administrative tasks, including preparing proposals and generating reports.
  • Serve as a point of contact for clients regarding contract and order status, addressing inquiries and issues.
  • Ensure all sales orders and contracts are updated in the CRM and ERP systems.
  • Collaborate with finance, legal, and operations teams to ensure smooth processing of sales orders.

Requirements

  • Minimum of 2 years of experience in a sales administration or similar administrative role, preferably in a B2B environment.
  • Experience with contract management, sales order processing, and auditing is highly desirable.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and CRM software (Salesforce, HubSpot, etc.).
  • Strong communication skills, both written and verbal, with the ability to collaborate effectively with internal teams and external clients.
  • Ability to manage multiple tasks simultaneously and prioritize work to meet deadlines.
  • Strong problem-solving skills and the ability to resolve issues in a timely manner.

Nice-to-haves

  • Familiarity with sales order systems and contract management tools is a plus.
  • Ability to work independently and as part of a team.
  • Highly organized with a proactive approach to tasks and responsibilities.
