About the position

This internship position at the Westin Portland Harborview is a temporary opportunity designed for students from the University of Southern Maine, offering a one-time, paid internship of 150 hours in the areas of Sales, Marketing, and Banquets. The internship is structured to allow interns to work between 5 to 10 hours weekly, aligning with the academic calendar of the Fall semester of 2024. Upon completion of the 150 hours, the internship will conclude, but there may be opportunities for continued employment through a formal application and interview process. Interns will gain hands-on experience in various aspects of hotel operations, particularly focusing on event planning and coordination, vendor relations, customer relationship management, and sales techniques. They will learn effective negotiation skills, product knowledge, revenue management, and market analysis, which are essential for a successful career in hospitality sales and marketing. Additionally, the internship will cover banquet operations, including menu planning, logistics, guest relations, and the development of strong communication skills. The Westin Portland Harborview, a historic hotel originally opened in 1927, provides a unique environment for interns to learn and grow. The hotel is known for its stunning views, luxurious accommodations, and exceptional service, making it an ideal setting for aspiring hospitality professionals to develop their skills and knowledge in a real-world context.

Responsibilities

  • Approaches all encounters with guests and associates in an attentive, friendly, courteous, and service-oriented manner.
  • Maintains regular attendance in compliance with Aimbridge Hospitality standards as required by scheduling, which will vary according to the needs of the hotel.
  • Internship hours may require attendance on weekends and holidays depending upon business demands.
  • Maintain a high standard of personal appearance and grooming, which includes compliance with the Aimbridge Hospitality dress code and wearing a name tag when working (per brand standards).
  • Complies at all times with Aimbridge Hospitality standards and regulations to encourage safe and efficient hotel operations.
  • Demonstrates awareness of established goals for each department and the role played in the sales process to achieve and/or exceed these goals.
  • Assists managers on creative projects including proposals, direct mail pieces, invitations, special events, etc.
  • Maintains timely and effective paper flow and communication within the department and to other departments.
  • Works with sales leadership to detail upcoming functions as needed.
  • Distributes BEOs (Banquet Event Orders).
  • Assists guests and clients with small change requests and completes needed paperwork for the manager.
  • Assists with in-house deliveries, amenities, welcome letters, transportation schedules, etc. as needed.
  • Participates in branding discussions and monitors brand cohesiveness through all marketing materials.
  • Develops marketing collateral and messaging.
  • Attends sales meetings.
  • Performs other items as they relate to the sales and marketing effort of the hotel as well as any other items as needed by the entire management staff.
  • Any other duties as assigned by the Director of Sales specific to the respective property.

Requirements

  • High School diploma and at least one year of experience as a coordinator.
  • Resourceful; able to think outside the box.
  • Confident with excellent telephone, interpersonal, and organizational skills.
  • High energy, motivated, and dependable.
  • Excellent communication skills both verbally and written.
  • Average to above-average knowledge of all Microsoft software programs, particularly Excel.
  • Quick learner with good initiative and follow-through skills.
  • Able to work independently to meet deadlines.
  • Detail-oriented with good computer skills.
  • Good eye for online design.
