About the position

The Sales & Marketing Coordinator at Southall Farm & Inn plays a crucial role in supporting the Sales and Marketing teams by serving as the first point of contact for customers, clients, agencies, and media. This position involves a blend of sales support and marketing assistance, ensuring effective communication and coordination within the team and with external stakeholders.

Responsibilities

  • Qualify and respond to requests for information from sales inquiries involving room nights.
  • Direct event sales inquiries to the Catering department.
  • Receive group leads and assist in data entry in Resort Suite for initial lead and turnover to Group Sales Manager.
  • Receive leisure leads and turn over lead to Leisure Sales Manager.
  • Assist in response to requests or leads with information/Resort Overviews for timely response.
  • Assist Sales team with client site tours.
  • Pull reports of group deposits received and not received, working with accounting, and updating Resort Suite with payment dates and amounts.
  • Assist Sales team with amenity requests for overnight VIP clients.
  • Work with Reservations Manager to check availability and secure rooms for group blocks.
  • Attend weekly Sales and Marketing Meeting.
  • Assist in response to requests involving photoshoots, marketing promotions, donations, etc.
  • Field social community management inquiries, PR fact checks, and coordinate press questions.
  • Coordinate approved media/influencer stays and build itineraries with Reservations and Programming Teams.
  • Assist with media/influencer site tours and amenities for overnight media guests.
  • Keep Social Team updated on weekly happenings and specialty events for Instagram stories.
  • Work with Creative Director on posting/responding to locals closed FB group.
  • Respond to guest reviews to maintain online reputation.
  • Maintain accurate event + activity listings on Way and website with Programming team.
  • Maintain accurate IRD menus on website with F+B team.
  • Field internal creative requests and manage collateral orders/delivery with Creative Director.
  • Assist with photo + video shoots and brand compliance throughout the property.
  • Attend monthly PR/Social Call.

Requirements

  • Previous Hotel/Hospitality experience preferred.
  • High School diploma or GED.
  • Strong writing and verbal communication skills.
  • Creative with an eye for detail.
  • Excellent organizational and time-management skills.
  • Dependable and punctual.
  • Willing to work a flexible schedule including weekends if needed.
  • Ability to move, lift, carry, push, pull, and place objects weighing less than or equal to 25 pounds without assistance.
  • Ability to stand, sit, or walk for an extended period.
