About the position

The Sales Assistant role at Apex Filling Systems is designed to provide essential support to the Director of Sales, ensuring that sales operations run smoothly and efficiently. This position requires a detail-oriented and analytical individual who thrives in a fast-paced environment and enjoys problem-solving. The Sales Assistant will manage administrative tasks, prepare quotes, and facilitate communication between the sales leader and other teams, all while maintaining a focus on customer service and operational efficiency.

Responsibilities

• Prepare accurate and professional quotes using Quotewerks.
• Manage the Director of Sales' calendar and schedule, including booking travel.
• Handle clerical tasks to keep the sales process organized and efficient.
• Act as a liaison between the Director of Sales and other teams to keep projects on track.
• Communicate with internal teams to ensure smooth operations and resolve issues promptly.
• Handle customer service inquiries directed to the Director of Sales.
• Work independently when the Director of Sales is traveling, ensuring tasks are completed.
• Identify ways to improve processes and support the sales function.

Requirements

• Strong organizational and multitasking skills.
• Excellent written and verbal communication abilities.
• Comfort with learning technical equipment and processes.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Prior experience in sales support, administrative roles, or customer service preferred.

Nice-to-haves

• Experience with Quotewerks or similar quoting software is a plus.
• Familiarity with manufacturing, engineering, or technical equipment is a bonus.
