About the position

The position at Thermo Fisher Scientific involves managing customer inquiries and requests related to order processing within the Materials and Structural Analysis business. The role serves as the main point of contact for customers, sales, finance, factory, and operations, ensuring smooth communication and coordination throughout the order lifecycle. Team members will support account managers, maintain customer records, and ensure compliance with various standards while contributing to process improvements.

Responsibilities

  • Handle customer inquiries and requests related to order processing.
  • Manage the order lifecycle from receiving purchase orders to coordinating shipment and invoicing.
  • Support account managers with updates in CRM (Microsoft Dynamics 365).
  • Review and clarify all aspects of transactions upon receipt of purchase orders.
  • Ensure purchase orders match Thermo Fisher's proposals and initiate corrective actions when necessary.
  • Update CRM upon purchase order receipt and inform Factory Order Desks of shipping dates.
  • Complete all CRM data fields in Opportunities, Quotes, and Order Acceptance.
  • Handle day-to-day customer concerns and report risks to management.
  • Complete SSOC reporting standards within requested timescales.
  • Maintain customer records aligned with SSOC policy for audits.
  • Build and maintain order data in automation systems/tools (QAD MFG; SharePoint; Cora Sequence).
  • Manage communication with customers and agents regarding order acknowledgments and shipment planning.
  • Ensure compliance with SOX, Legal, and ISO standards.
  • Collaborate with product groups for accurate creation and acceptance of Non Standard Requests (NSR's).
  • Provide suggestions for process improvements and cost control.
  • Manage orders with vendors for Local X-Tech items and ensure on-time delivery.
  • Act as liaison with Accounts Receivable to resolve billing issues and maintain records regarding customer transactions.
  • Represent Thermo Fisher SSOC during meetings and conference calls with various stakeholders.

Requirements

  • Bachelor's degree preferred; High School Diploma required.
  • Minimum of 3 years proven experience in a related field.
  • Knowledge of QAD and/or Microsoft Dynamics 365 is highly desirable.
  • Demonstrated ability to analyze problems and review various factors to determine appropriate actions.
  • Excellent written and verbal communication skills are vital.
  • Attention to detail and proactive follow-through are critical.
