About the position

The Sales Operations Coordinator role at Stonewall Kitchen is a vital position that provides essential support to the Wholesale team. This role is primarily focused on ensuring the smooth processing of orders, maintaining accurate records, and facilitating communication between various departments. The coordinator will be responsible for auditing orders to expedite correct processing and release, assisting with reporting requirements, and maintaining shared departmental documents. This position requires a keen eye for detail and strong organizational skills to manage multiple tasks effectively. In this role, the Sales Operations Coordinator will monitor the open order report daily, ensuring that pricing is accurate, including discounts and shipping costs. Acting as a liaison between the Wholesale team, Finance, and the Distribution Center, the coordinator will troubleshoot any order delays or issues that arise. This includes scrubbing orders to ensure timely processing and resolving any holds related to payment, credit cards, or backorders. The coordinator will also assist in processing credits and returns for the Wholesale Department, ensuring that all transactions are handled efficiently. Additionally, the coordinator will manage sample requests from brokers and key customers, oversee third-party logistics, and maintain the office calendar, which includes tracking in-office and work-from-home days, travel days, and tradeshows. The role also involves maintaining office documents, such as FAQs and training materials, and managing the Broker Portal. Reporting and light analytics on promotion performance and order trends will be part of the responsibilities, as well as managing contact on global data management systems. Depending on business needs, the coordinator may also serve as a backup for Wholesale Account Specialists and Inside Sales Representatives during busy seasons or vacations. Overall, this position is crucial for ensuring that the Wholesale team operates smoothly and efficiently, contributing to the overall success of the company.

Responsibilities

  • Monitor open order report daily to audit pricing, e.g. discounts, free shipping, delivered pricing
  • Act as liaison between Wholesale and Finance and Distribution Center to troubleshoot order delays and issues
  • Scrub orders to ensure all orders are processed in a timely fashion, ensuring no orders are held up by payment, credit card, order or GSA hold, backorders, etc.
  • Assist in processing credits/returns for the Wholesale Department
  • Enter sample requests from/for brokers and key customers
  • Manage third party logistics from end to end including dropship for .com customers and west coast distribution centers shipping on our behalf
  • Maintain office calendar, including events, in office vs work from home days, travel days, tradeshows, etc.
  • Maintain office documents, including FAQ, training videos and documents table of contents, portal sites/passwords, Sales & Operations planning document
  • Broker Portal Management - download demo reports, claims etc.
  • Reporting/light analytics on promotion performance, order trends, order holds, etc.
  • Manage contact on global data management systems
  • Manage Store Locator report and work with third party vendor to keep up to date on our website
  • Serve as backup for Inside Sales Representatives on vacation and during busy seasons, answering phones and entering orders
  • Perform other duties as assigned

Requirements

  • High School Diploma (or equivalent)
  • Proficient in Microsoft Office Suite
  • Strong folder/electronic filing cabinet organizational skills
  • Knowledge of Business Central is a plus
  • Strong verbal and written communication skills
  • Strong attention to detail
  • Basic math skills required
  • Ability to work in a fluid environment and troubleshoot questions and issues
