About the position

Hitachi Energy is seeking a Sales Operations Specialist to support two Senior Leaders in the US Sales Team. This remote position requires a highly organized individual who can manage various administrative responsibilities, including travel arrangements, presentation preparation, onboarding, and expense reporting. The role demands excellent communication skills and a proactive approach to ensure smooth operations within the sales team.

Responsibilities

  • Book and re-book travel arrangements for two Senior Leaders, ensuring compliance with travel policies.
  • Assist in creating regional presentations by researching information and finalizing documentation.
  • Prepare for new hires by coordinating with Sales Operations and HR for access and equipment.
  • Act as the point of contact for the regional sales team, managing relationships with key partners.
  • Manage the calendars of two Senior Leaders, addressing major conflicts as needed.
  • Handle expense reports for two Senior Leaders, including collecting receipts and submitting reports in Concur.
  • Coordinate internal and external meetings, including logistics and catering arrangements.
  • Produce monthly summary reports, including Record Orders Snapshot and Key Opportunities Update.
  • Serve as the point of contact for Sales Leaders during their vacations, managing urgent communications.
  • Highlight key emails for immediate attention of Sales Leaders.
  • Demonstrate proficiency in Salesforce and Power BI to assist Sales Leaders with data analysis.

Requirements

  • Bachelor's Degree and 2 years of experience in administrative responsibilities, or an Associate's Degree and 4 years of experience.
  • Experience in handling confidential information related to employees and organizational strategy.
  • Ability to manage multiple projects simultaneously and support various members of the Sales Leadership team.
  • Strong proficiency in Microsoft Office Suite, particularly Excel, including formulas and pivot tables.
  • Ability to compose professional correspondence and communicate effectively with all levels of the organization.
  • Highly organized with a sense of urgency and ability to prioritize responsibilities.

Nice-to-haves

  • Experience with Salesforce and Power BI for data analysis and reporting.
  • Previous experience in a sales operations or administrative support role.
