About the position

The Sales/Service Specialist II - Project Coordinator at Bluegrass Community & Technical College plays a crucial role in supporting the Workforce Solutions office. This position is responsible for a variety of tasks that ensure the smooth operation of the department, including tracking apprenticeship enrollment, reporting from various databases, and recruiting and onboarding new faculty for the Workforce area. The Project Coordinator will also coordinate the enrollment for the Commercial Driver's License (CDL) Program and manage the creation and maintenance of social media, newsletters, and marketing materials related to Workforce Solutions. In this role, the Project Coordinator serves as the primary contact for onboarding Workforce Solutions faculty, initiating meet and greets, managing employment-related faculty contracts, and establishing regular onboarding orientations. The individual will actively recruit new faculty to meet customized training needs and will lead communication for faculty interviews, ensuring that the needs of Project Managers are met. Additionally, the Project Coordinator will maintain a master list of current Workforce Solutions Faculty to identify gaps in subject matter expertise. The position also involves significant communication and support for Apprenticeship Programming, including tracking required documentation from employers and serving as the primary contact for business and industry regarding apprenticeship documentation. The Project Coordinator will manage and provide regular reporting for student enrollment across various platforms, including DSS, Salesforce, Campus CE, and PeopleSoft, and will conduct revenue analysis for projects. Furthermore, the Project Coordinator will maintain the Workforce Solutions webpage, serve as a backup for administrative tasks in the Workforce Solutions Front Office, and manage communications related to CDL student enrollment and employer interactions. This role requires effective communication with Project Managers to support project needs and student enrollment, as well as the ordering of textbooks and course materials. The Project Coordinator will also perform revenue analysis for customized training projects and maintain proper documentation of student enrollment across various platforms. Other duties may be assigned as needed.

Responsibilities

  • Serve as primary contact for onboarding Workforce Solutions faculty, initiating meet and greets and managing employment-related faculty contracts.
  • Actively recruit new faculty for Workforce Solutions customized training needs, leading communication for faculty interviews.
  • Maintain and update a master list of current Workforce Solutions Faculty to identify gaps in subject matter expertise.
  • Communicate, support, and track Apprenticeship Programming, including documentation from employers.
  • Manage and provide regular reporting for Workforce student enrollment in various databases.
  • Maintain and update the Workforce Solutions webpage consistently.
  • Serve as primary contact for business and industry, community agencies, and other partners for scheduling events.
  • Act as backup for Administrative Assistants in the Workforce Solutions Front Office.
  • Manage CDL student enrollment, employer communication, and third-party funding.
  • Advertise CDL courses and communicate with community partners about scheduled courses.
  • Support Project Managers through effective communication and follow-through on project needs.
  • Perform revenue analysis for customized training projects and tuition calculations.
  • Maintain documentation of student enrollment in various platforms.
  • Prepare the monthly Workforce Solutions newsletter and manage the list-serve.
  • Manage Workforce Solutions social media and marketing efforts.

Requirements

  • Bachelor's Degree and 2 years of experience or equivalent.
