About the position

The Administrative Assistant to the Board provides high-level confidential administrative support to the Superintendent of Schools or Chief level administrator. This role emphasizes both internal and external communication, requiring the assistant to work collaboratively with all office staff and administrators. The position is critical in managing the Superintendent's or Chief's schedule, preparing correspondence, reports, meeting agendas, and other necessary materials. The assistant is responsible for gathering information in a timely manner, maintaining an organized filing system, and managing incoming and outgoing correspondence. Additionally, the assistant plays a key role in drafting district-wide communications and maintaining the district calendar, ensuring that all materials leaving the office are error-free. The assistant also attends School Board meetings to assist the Superintendent in tracking requirements and actions resulting from these meetings, including minute-taking. This position requires a proactive approach in identifying and reporting issues that may hinder the effectiveness of the district office, as well as offering solutions. The role may involve performing other duties as required that fall within the general scope of responsibilities, making it a dynamic and integral part of the administrative team.

Responsibilities

  • Assists the Superintendent or Chief level administrator in managing their schedule and planning meetings.
  • Prepares correspondence, reports, meeting agendas, and other required materials.
  • Gathers information needed by the Superintendent or Chief in a timely manner.
  • Maintains a filing system for convenient document recovery.
  • Handles incoming and outgoing correspondence and logs messages for the Superintendent or Chief.
  • Assists in drafting district-wide communications.
  • Develops and maintains the district calendar.
  • Ensures all materials leaving the office are error-free.
  • Identifies, reports, and offers solutions to issues limiting the effectiveness of the district office.
  • Attends School Board meetings to assist the Superintendent in tracking requirements and actions, including minute-taking.
  • Develops agendas and supporting papers for School Board meetings and posts them in a timely fashion.

Requirements

  • Associate's Degree required; Bachelor's Degree preferred.
  • Minimum of 5 years of experience in progressively advanced secretarial roles.
  • Demonstrated knowledge of educational business office administrative support functions.
  • Strong communication skills, both orally and in writing.
  • Ability to interact with top-level officials and staff with tact and diplomacy.
  • Ability to follow complex oral and written instructions.
  • Ability to maintain confidentiality regarding district, personnel, customer, and vendor information.
