About the position

The Scheduler / Administrative Assistant at DV Therapy Inc. plays a crucial role in managing the front office operations, ensuring a welcoming environment for clients, and supporting the administrative functions of the therapy practice. This position involves scheduling appointments, maintaining records, and assisting clients with their needs while adhering to HIPAA standards.

Responsibilities

  • Oversee the front office and waiting room areas, maintaining a clean and professional environment.
  • Open and close the physical office as required.
  • Assist clients during sign-in and departure, ensuring a smooth process.
  • Direct inquiries in person and by phone, providing excellent customer service.
  • Verify insurance eligibility and assist with billing and data entry tasks.
  • Coordinate new intakes and upload paperwork to appropriate departments.
  • Schedule therapy rooms for sessions and confirm appointments.
  • Create and update program intake packets and maintain client charts/files.
  • Ensure all incoming clients are greeted professionally and telephone calls are handled promptly.
  • Maintain an up-to-date telephone directory and emergency call list for employees.
  • Promote safe and respectful behaviors in the waiting room and oversee activities there.
  • Utilize electronic mail for communication and ensure all documents are uploaded before shredding.
  • Utilize word processing, databases, and spreadsheet software for various administrative tasks.
  • File documents and manage open/locking cabinets daily.
  • Assist in auditing charts and checklists as requested.

Requirements

  • Minimum of 1 year scheduling experience.
  • Minimum of 1 year reception/clerical experience required.
  • Spanish speaking required.
  • Experience answering multi-line inbound calls.
  • Professional working manner with excellent phone etiquette and strong customer service orientation.
  • Adhere to department policies around confidentiality, HIPAA, and clients' rights.
  • Possess excellent verbal and written communication skills.
  • Energetic personality capable of handling a variety of tasks.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience working within an electronic health record system preferred.
  • Possession of a valid California driver's license and car insurance.

Nice-to-haves

  • Experience in a healthcare setting preferred.
  • High school diploma or equivalent (Preferred).
