The Scheduler position at ComForCare Home Care involves performing essential clerical and scheduling activities that facilitate the operations of the agency. This role is crucial in coordinating employee schedules with the needs and preferences of clients, processing intake information, and maintaining effective communication with referral sources. The Scheduler is responsible for ensuring that services requested by clients are scheduled and provided in a timely manner, thereby contributing to the overall efficiency and effectiveness of the agency's operations. In this role, the Scheduler will maintain the schedule for services requested and provided to agency clients, ensuring that all cases are filled within established time frames. This includes completing necessary documentation, whether in paper or automated systems, and providing appropriate notifications regarding schedules to employees, clients, contract agencies, supervisors, and other relevant parties. The Scheduler will also monitor overtime and mileage records of employees, respond to emergency calls, and arrange schedules accordingly to meet client needs. Additionally, the Scheduler will provide direction to direct care employees, ensuring that they receive complete and accurate information about client needs as directed by licensed professional staff. The role requires reporting any scheduling changes or client concerns to the supervisor and notifying clients of changes while monitoring employee performance in areas such as dependability and responsiveness. The Scheduler will participate in the evaluation and performance review of field staff, verify time records against schedules, and follow up on any scheduling problems encountered by on-call staff. Furthermore, the Scheduler will be involved in determining hiring needs, maintaining adequate numbers of available on-call staff, and collaborating with nursing and marketing staff to anticipate coverage needs for new clients. The position also emphasizes the importance of confidentiality, requiring the Scheduler to respect the confidentiality of client and employee records and to share information in accordance with agency policy. Compliance with applicable state, federal, CHAP, and Joint Commission standards is essential, and the Scheduler is expected to attend meetings and educational programs as required, accepting responsibility for personal and professional development while participating in ongoing quality improvement activities.

Responsibilities

  • Maintains schedule for services requested and provided to agency clients.
  • Assures that cases are filled within established time frames.
  • Completes documentation (paper or automated system).
  • Provides appropriate notification of schedule to the employee, client, contract agency, supervisor, and others as appropriate.
  • Monitors overtime and mileage records of employees.
  • Responds to emergency calls and arranges schedule accordingly.
  • Provides direction to direct care employees and communicates with supervisors as needed to assure safe and effective coverage of client needs.
  • Assigns Agency staff to clients as directed by the licensed professional staff, care plan and service request.
  • Assures employees receive complete and accurate directions and information about client needs as directed by licensed professional staff, care plan and service request.
  • Reports any scheduling changes and/or client concerns to supervisor.
  • Notifies client of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns.
  • Participates in the evaluation and performance review of field staff.
  • Verifies time records with schedules.
  • Follows up with employee on scheduling problems encountered by the on-call staff.
  • Participates in determining hiring needs.
  • Minimizes substitution of employees and maximizes permanent coverage.
  • Maintains adequate numbers of available on-call staff.
  • Notifies Supervisor/Human Resource Department of staff needs.
  • Meets with nursing and marketing staff to anticipate needed coverage (new clients' increased needs).
  • Maintains confidentiality in all aspects of the job.
  • Performs job in compliance with Agency policies and procedures as well as community and professional standards.
  • Attends meetings and educational programs as required.
  • Participates in the Agency's ongoing quality improvement activities.

Requirements

  • High school graduate; advanced education desirable.
  • Current staffing experience, preferably staffing for a temporary Agency or in-home health.
  • Knowledge of medical terminology or a general medical background desirable.
  • Demonstrates strong verbal, written, and interpersonal communication skills.
  • Computer literate or willing to be trained on a personal computer.
  • Speaks, reads, writes and comprehends English.
  • Demonstrates time management, organizational skills, and ability to function with minimal direction.
