About the position

The Scheduler at Texas Oncology plays a crucial role in managing patient appointments and ensuring efficient communication between patients and medical staff. This full-time position supports the Plano West location and operates within a dynamic and friendly clinic environment. The Scheduler is responsible for scheduling new and returning patients, handling insurance authorizations, and maintaining the office scheduling template, all while adhering to compliance standards.

Responsibilities

  • Answers all incoming calls and assesses callers' needs, directing them to appropriate personnel.
  • Schedules new patients, patient referrals, and returning patients in the computer system according to physician guidelines.
  • Cancels or reschedules appointments based on physician schedule changes and notifies appropriate clinic personnel.
  • Obtains and enters all insurance authorizations and correspondence related to referrals in patients' charts or electronic medical records (EMR).
  • Collects co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
  • Maintains the primary office scheduling template, including physician meetings and call coverage.
  • Arranges for patients to have financial counseling as needed.
  • Demonstrates an understanding of patient confidentiality to protect patient and clinic information.
  • Covers for other front office functions as requested.
  • Prepares correspondence, memos, forms, and other typing as requested by the supervisor.
  • May schedule outpatient appointments, testing, surgeries, and hospital admissions upon request.
  • Obtains necessary pre-certification as required for procedures.
  • Communicates with patients about surgeries or tests being scheduled and gathers necessary patient information.
  • Responsible for follow-up on all pre-operative tests to ensure patients are cleared for surgical procedures.

Requirements

  • High school diploma or equivalent required.
  • 0-3 years' experience in a medical office setting preferred for Level 1.
  • Knowledge of medical terminology and coding is a plus.
  • Excellent written and verbal communication skills are required.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) is required.
  • Minimum three years of office experience in a medical office setting preferred for Level 2.
  • Minimum five years of office experience in a medical office setting preferred for Senior level.

Nice-to-haves

  • Knowledge of medical terminology and coding.
