About the position

The Scheduling and Shipping Coordinator is responsible for ensuring that production operations align with scheduling, quality control, and delivery requirements. This role involves coordinating daily production activities, managing communication with internal and external teams, and maintaining accurate records for tracking production and shipments. The ideal candidate will be detail-oriented and organized, capable of collaborating across departments to uphold production timelines and customer satisfaction.

Responsibilities

  • Verify daily production alignment by comparing Production's schedule with QC's schedule.
  • Input previous day's production data on the corresponding Production Sheet and create the Daily Production Schedule across all production areas to ensure a daily output goal of 50 cubic yards.
  • Track and update production schedules for completed and pending products, and maintain daily input on production spreadsheets.
  • Provide Production Update Reports for internal tracking and billing purposes.
  • Verify weekly timecards and complete attendance records on Mondays for processing.
  • Generate daily MSE schedules based on project drawings and elevations, organized for each department's needs (MSE, Sound Wall).
  • Coordinate logistics with contractors and installers, arranging deliveries with specific timelines, addresses, and schedule coordination.
  • Confirm that product load requests match production schedules and drawings, verifying readiness for delivery with QC.
  • Organize internal and external shipment logistics, including setting load schedules with contracted hauling companies and establishing rates.
  • Prepare Bill of Lading (BOL) for each outgoing load, ensuring tracking data is accurately recorded.
  • Monitor inventory to avoid over-shipping and track shipped items to maintain accurate records.
  • Prioritize production based on EP and customer demands to meet project timelines.
  • Assist HR with new hire onboarding by collecting necessary employment documents, coordinating background checks and drug screening, and arranging onboarding schedules.
  • Develop and implement a new loading process for plant operations, ensuring driver check-ins, product ticketing, and traffic flow for efficient loading.
  • Manage truck traffic flow, including staffing requirements and equipment allocation, based on expected daily truck volume.
  • Regularly update product inventory using daily production reports and weekly shipping tickets to maintain inventory accuracy.

  • Demonstrated experience in scheduling, logistics, and managing product deliveries.
  • Strong interpersonal skills for effective communication with internal teams and external customers.
  • High organizational ability, with attention to detail.
  • Proficiency in using computer systems and software for order tracking, inventory management, and shipment coordination.
  • Capacity to collaborate with cross-functional teams to support cohesive operations.

Nice-to-haves

  • Experience in traffic flow management and cargo security is preferred.
