About the position

The Norfolk Regional Center is seeking a highly organized and detail-oriented Scheduling Coordinator to manage and oversee the scheduling of the Direct Care Staffing needs for our team. Providing adequate coverage to maintain a safe and healthy environment is a complex process and takes a lot of time for the scheduling coordinators to be able to meet this challenging task. The ideal candidate will be responsible for ensuring that all schedules are optimized and coordinated providing the nursing department full staff coverage to the 24 hour facility. This role requires strong communication skills, the ability to manage multiple schedules simultaneously, working well with other team members, and a commitment to providing excellent customer service.

Responsibilities

  • Develop and coordinate direct care and nursing personnel staffing schedules, prepare vacation posting schedules, coordinate the day-to-day staff schedule and complete time and attendance entry to ensure accurate documentation relating to payroll functions.
  • Training of new staff to the Kronos, Telestaff, and the policies they need to be educated on relating to the nursing staff schedule.
  • Works with Human Resources on staff vacancies and the open schedules to ensure the new staff are assigned to the correct staff vacancy area.
  • Fields staff questions related to the Union Contracts as it relates to the staffing.
  • Works with the Agency Registered Nurse and Licensed Practical Nurse with contracted hour, weekly schedule and weekly time sheet verifications.
  • Communicating and filling the open schedule spots to allow for required unit coverage on a day-by-day basis (24 hours a day and 7 days a week) following the union contract specifications.
  • Coordinate the day-to-day direct care staffing schedules to ensure that required staff is on duty to provide treatment services based on existing patient acuity levels and patient appointments and transfers.
  • Maintaining and updating the Mandatory, Voluntary and Bye Lists for all staff.
  • Oversees the QDIP process as it relates to decreasing staff overtime.
  • Involved on committees as requested by the Director of Nursing.
  • Other committee work is assigned such as data collection for absenteeism, mandatory and voluntary overtime with a goal to reduce overtime and other assignments as designated by the Director of Nursing or Hospital Administrator.

Requirements

  • Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency.
  • Business administration, accounting, customer service, and/or technical support work, including use of computer software such as word processing, spreadsheets, and database management.
  • Must be 19 years of age.

Nice-to-haves

  • Knowledge of KRONOS and Telestaff.
