About the position

The Scheduling Coordinator plays a crucial role in supporting the Director of Health Services by planning, organizing, and directing the nursing service department's activities. This position ensures the continuity of care for residents by coordinating nursing services with other resident services, managing staffing schedules, and overseeing compliance with health regulations. The role involves creating and maintaining schedules, managing employee requests, and ensuring efficient staffing levels while adhering to budgetary constraints.

Responsibilities

  • Assist the Director of Health Services in planning and directing nursing services.
  • Develop methods for coordinating nursing services with other resident services.
  • Participate in facility surveys conducted by government agencies.
  • Create and post the campus' four-week Master set schedule.
  • Make staffing adjustments based on budget and census fluctuations.
  • Manage employee PTO requests, holiday rotations, and shift trades.
  • Generate required postings and daily assignment sheets.
  • Monitor nursing hours and staff ratios to census.
  • Manage Time and Attendance, including attendance points and buy-backs.
  • Anticipate staffing needs and partner with Employee Services to minimize open positions.
  • Utilize Smartlinx for posting and filling open shifts.
  • Meet new employees to review their schedules and ensure smooth onboarding.
  • Assist with onboarding coordination and classes.
  • Adhere to scheduling standards and best practices.
  • Provide direct nursing care as necessary.
  • Complete resident documentation in MatrixCare.
  • Maintain ordering and stocking of supplies.
  • Round on each shift to review staffing levels.

Requirements

  • Valid RN License or equivalent certification (C.N.A, QMA/KMA/Med Tech, LPN) preferred.
  • Experience in scheduling and staffing coordination.
  • Strong mathematical and analytical skills.
  • Project management experience with the ability to manage multiple tasks.
  • Knowledge of state and federal regulations in long-term care.
  • Ability to communicate effectively both orally and in writing.
  • Experience with office equipment and software applications.
  • Strong organizational skills with attention to detail.
  • Ability to work independently and collaboratively in a team.

Nice-to-haves

  • Previous scheduling experience preferred.
  • Familiarity with SmartLinx, ICIMS, and KeyStats computer systems.
