About the position

The Scheduling Template Infrastructure Specialist at UCLA Health is responsible for centralizing clinic schedules and managing template changes for healthcare providers. This role is crucial in ensuring timely and equitable access to healthcare services for patients. The specialist will interact with various stakeholders, including operations managers and clinical faculty, to optimize scheduling processes and maintain compliance with departmental policies.

Responsibilities

  • Field requests from operations managers and directors regarding schedule changes.
  • Ensure compliance with established department policies and procedures.
  • Obtain necessary approvals for schedule/template changes in the EPIC system.
  • Create, analyze, and support provider and ancillary templates to maximize patient access.
  • Assist in building CareConnect templates for new clinical faculty, ensuring alignment with contractual obligations.
  • Generate and modify provider and ancillary schedules efficiently and timely.
  • Interact closely with PAO leadership, operations managers, clinical chiefs, and faculty members.

Requirements

  • Bachelor's Degree or equivalent experience required.
  • Experience with CareConnect (Epic) or comparable EMR system.
  • Certification in at least one Epic Application or willingness to obtain certification within 6 months of hire.
  • Experience with physician/clinic schedules and workflows.
  • Strong analytic and problem-solving skills.
  • Proficiency in MS Excel, particularly in linking, spreadsheet management, data manipulation, and analysis.
  • Skill in writing concise, logical, and grammatically correct correspondence.
  • Interpersonal skills to communicate effectively with faculty, staff, and non-University entities.
  • Ability to perform tasks independently with minimal direction under fluctuating workloads and changing priorities.
  • Ability to understand and adhere to HIPAA Regulations, Policies, and Procedures.
  • General knowledge of medical office services, procedures, and terminology.

  • Experience in a medical office environment.
  • Ability to travel to and from all PAO site locations & throughout UCLA campuses.
