About the position

The School Counseling Administrative Assistant at Bristol Central High School is responsible for providing secretarial support to the guidance and counseling department. This role involves maintaining office files, assisting in report preparation, managing student records, and facilitating communication between students, staff, and parents. The assistant plays a crucial role in ensuring the smooth operation of the counseling office and supporting the needs of students and counselors.

Responsibilities

  • Perform secretarial duties associated with the guidance/school counseling department.
  • Maintain office files and ensure confidentiality of student and staff records.
  • Respond to inquiries from students, staff, and the general public.
  • Complete counselor correspondence and manage appointments.
  • Update PowerSchool files as required.
  • Receive and respond to telephone calls from parents.
  • Prepare and forward current and former student transcripts as necessary.
  • Perform receptionist duties and manage mailings to parents.
  • Test data on permanent records and file in student cumulative files.
  • Assist supervisors in preparing the department budget and complete supply orders.
  • Schedule enrollments and obtain required registration papers and Sped records.
  • Withdraw/send records and schedule college visits with Admissions counselors.
  • Liaison between the senior graduating class and scholarship committees, processing applications and preparing for Awards Night.

Requirements

  • High School Diploma or General Education Degree (GED) preferred.
  • Previous office experience desirable.
  • Ability to read and interpret documents such as safety rules and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively with parents, staff, and students.
  • Basic knowledge and experience with job-related computer hardware and software applications.
  • Ability to apply common sense understanding to carry out instructions in written or oral form.
