About the position

The School Office Manager II at Norfolk Public Schools is responsible for assisting school administrators with a variety of supervisory and administrative tasks. Responsibilities

  • Process school financial records and reconcile complex financial management programs.
  • Collect and receipt for monies, prepare checks for payments, and post receipts and disbursements to accounts.
  • Reconcile bank statements and prepare monthly financial statements.
  • Process and maintain records of staff absences and leave requests.
  • Check in substitute teachers, issue keys, and advise on lesson plans and schedules.
  • Assist administrators in arranging classroom coverage when substitute teachers are not present.
  • Process, verify, and maintain payroll records for part-time personnel.
  • Calculate and prepare financial and statistical reports for administrators.
  • Coordinate the work of clerical, secretarial, and administrative support personnel.
  • Oversee secretarial duties for school administrators and manage the school office.
  • Review all outgoing correspondence for formatting, spelling, punctuation, and grammar before submission for signature.
  • Supervise clerical staff, assign duties, and review completed work for accuracy and completeness.
  • Assist the principal with daily correspondence, maintain the principal's calendar, and coordinate meetings and conferences.
  • Screen telephone calls for the principal and manage regular mail.
  • Ensure compliance with local, state, and federal laws regarding student information.
  • Attend meetings and conferences as needed.
  • Research and develop materials for official school functions and maintain control records on incoming correspondence.

Requirements

  • Associate's degree in a relevant field.
  • Two years of directly related experience as a supervisor or office manager.
  • Experience managing a school budget.
  • Minimum of two years of customer service experience.
  • Advanced computer knowledge and writing skills.
