About the position

Breakthrough Public Schools is seeking a flexible, detail-oriented School Operations Support Specialist (S-OSS) to join the school Operations team. The School Operations teams focus on creating efficiency within the school's processes and procedures, curating a warm and welcoming environment for all stakeholders, and removing operational barriers from instructional staff so they may focus on student achievement. The S-OSS rotates throughout all five BPS campuses and reports to the Managing Director of Operations. The ideal individual is humble, trustworthy, and solutions-oriented, demonstrating a care for students and a deep-rooted desire to further the mission of Breakthrough Public Schools. The S-OSS facilitates process improvements and implements standardized and simplified operational practices across all schools. This role requires a proactive approach to managing various operational tasks, ensuring compliance with state regulations, and supporting the overall efficiency of school operations. The position demands excellent organizational skills, the ability to juggle multiple tasks and priorities simultaneously, and a high level of critical thinking. The S-OSS will also be responsible for maintaining compliance with food service programs, managing attendance processes, and supporting the coordination of professional development logistics for school-based staff.

Responsibilities

  • Owning food service program compliance at the school level
  • Creating and maintaining an organized food service binder
  • Submitting accurate and timely food claims and updating internal claim tracker
  • Supporting school participation in fresh fruit and vegetable programs when applicable
  • Reviewing monthly food order and claim data; identifying trends and flagging potential areas of concern
  • Executing the Direct Certification process when required by the state of Ohio
  • Ensuring all campuses have mandatory compliance signage in required areas
  • Supporting the coordination of state-required compliance items at the school level
  • Ensuring compliance with the Ohio Department of Education immunization requirements
  • Running the 72-hour removal process for students with consecutive absences
  • Leading the House Bill 410 attendance intervention process, including data reports, coding, and communication to families
  • Performing monthly residency audits
  • Ensuring all campuses have emergency signage posted as needed
  • Facilitating key systems to enable operational success at the school level
  • Enrolling scholars in Identimetrics system for attendance
  • Coordinating distribution of, tracking, and data entry for household income forms
  • Managing the logistics for professional development for school-based staff, including registration, travel, and reimbursement
  • Supporting Front Offices when needed
  • Other duties as assigned

Requirements

  • At least 4 years of experience working in a fast-paced office environment
  • Adept in Microsoft Office Suite (Word, Excel, etc.) and G-Suite (Docs, Slides, etc.)
  • Ability to juggle multiple tasks and priorities simultaneously
  • Excellent word processing and grammar skills
  • Impeccable attention to detail
  • High level of critical thinking
  • Openness to feedback
  • Ability to independently follow up and follow through when needed
  • High school diploma or equivalent required
  • Associate or Bachelor's degree preferred
  • 3 years of office experience required (school office experience preferred)
