About the position

The School Secretary position at Frederick County Public Schools is a 10-month role responsible for providing secretarial support to the school administration. The role involves a variety of administrative tasks, including managing communications, maintaining records, and assisting with school operations. Responsibilities

  • Answer telephone calls, take messages, greet visitors, make appointments, and provide information.
  • Maintain consistent and reliable attendance.
  • Type and enter data for letters, schedules, reports, forms, and other materials.
  • Effectively use the automated purchasing system, student information system, and substitute calling system.
  • Maintain filing systems, student records, attendance reports, logs, and field trip records.
  • Collect monies for various school purposes and keep appropriate records of such funds.
  • Order and receive supplies and check invoices.
  • Assist in maintaining property accountability.
  • Assist in scheduling use of facilities.
  • Assist with registration and transfer of records.
  • Compose routine correspondence.
  • Distribute mail and supplies.
  • Perform other duties as assigned by the School Administrator.

Requirements

  • High school diploma or equivalent (G.E.D.).
  • Ability to effectively use word processing, database, spreadsheet, and email software.
  • Ability to maintain confidentiality.
  • Ability to communicate clearly and concisely in oral and written form.
  • Ability to work under pressure and maintain flexibility.
  • Strong human relations skills.
  • Proficiency in business math.
  • Capable of performing the essential functions of the position with or without reasonable accommodations.
  • Regular and predictable attendance.

Nice-to-haves

  • Five (5) years relevant office/clerical experience.
  • Demonstrated proofreading ability and creation of a table in a word processing program.
  • Ability to work independently with a minimum of supervision.
  • Familiarity with the FCPS policies, goals, and programs.
