About the position

The School Secretary for MPS Online - K-12 provides essential clerical and secretarial support to the school principal and staff. This role involves managing administrative tasks, maintaining records, and ensuring smooth operations within the school environment. The secretary serves as a point of contact for students, parents, and staff, facilitating communication and providing assistance as needed.

Responsibilities

  • Provide clerical and secretarial support for the School Principal.
  • Perform administrative support duties and make appropriate decisions based on experience.
  • Collect data and report information; maintain accounts for budget, grant funds, purchasing, payroll, timekeeping, transportation, enrollment, attendance, registration, and records requests.
  • Keep daily attendance records for staff and manage timekeeping records and payroll reporting.
  • Secure substitutes to cover classrooms as needed.
  • Maintain computer database and files; enter data and research electronic and paper files.
  • Order, receive, and distribute supplies and equipment.
  • Monitor school security system, lock and unlock doors, and manage key controls.
  • Provide customer service and information to MPS staff, students, parents, and visitors.
  • Coordinate communication at the school site and explain MPS rules, policies, and procedures.
  • Access MPS files and prepare and distribute school calendars and information packets.
  • Apply judgment to resolve problems and make work process decisions; refer policy matters to supervisor.
  • Coordinate, prioritize, cross-train, and review work of clerical and support staff.
  • Coordinate all student transportation.

Requirements

  • High School Diploma or GED equivalent.
  • Three years of office administration and computer experience in a public school district, or an equivalent combination of education, training, and experience.
  • Knowledge of applicable policies, procedures, and regulations covering specific areas of assignment.
  • Proficiency in business and personal computers, including spreadsheet, word processing, and database software applications.

Nice-to-haves

  • Bilingual in Spanish preferred.
  • Preferred knowledge of MPS organization, operations, policies, and procedures.
