About the position

The School Secretary for Special Education at 21st Century Cyber Charter School plays a crucial role in supporting the Special Education Department by managing administrative tasks related to student services. This position involves scheduling IEP meetings, maintaining student records, ensuring compliance with educational regulations, and providing clerical support to the department. The role offers a hybrid work option after 90 days, promoting work-life balance.

Responsibilities

  • Process student enrollments and withdrawals relating to special education students in IEPWriter and the Student Information System (SIS).
  • Disseminate accurate school information in a timely manner.
  • Process requests for school district records for new students and forward records of withdrawing students to receiving districts.
  • Maintain permanent long-term record data for special education students in SIS and physical filing system.
  • Conduct internal audits to ensure accuracy and timeliness of special education data required for State and Federal reporting purposes.
  • Assist case managers by scheduling meetings and sending notifications to parents/guardians.
  • Maintain a schedule of appointments and process incoming and outgoing mail for the Special Education Department.
  • Prepare purchase orders and payments for approval by the Director of Special Education and Business Administrator.
  • Maintain a spreadsheet of board-approved costs for expenditures related to special education services.
  • Assist in preparation and accuracy of data related to PIMS reporting requirements and surveys required by the PA Department of Education.
  • Prepare and mail supporting documentation for student disability claims.
  • Process requests from internal and external sources for information and direction.
  • Assist with state and local testing processes as needed.
  • Perform any other duties as assigned.

Requirements

  • High School Diploma or College Degree
  • Act 34, Act 151, and Act 114 Clearances
  • Proficient use of MS Office suite, database utilities & other software required to execute duties and responsibilities.

  • Ability to read, analyze, and interpret professional literature, financial reports, legal documents, technical procedures, and governmental regulations.
  • Ability to write reports, formal correspondence, and procedural documents that conform to prescribed style and format.

  • Ability to effectively develop and present training sessions based on assessment of needs.
  • Ability to apply basic mathematical concepts in the performance of routine assignments.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to apply sound judgment and interpersonal skills to resolve conflicts and solve problems.
