About the position

The School Secretary at WK Kellogg Preparatory High School plays a crucial role in supporting the school's administrative functions. This position involves performing a variety of routine and specialized clerical duties, maintaining office operations, and ensuring efficient communication within the school community. The secretary will assist in organizing school events, manage student records, and provide information to students, parents, and staff, all while promoting a safe and supportive learning environment.

Responsibilities

  • Create necessary reports and communication accurately and efficiently.
  • Maintain accurate paper and electronic student and staff records.
  • Provide information to students, parents, and staff members courteously.
  • Enter data related to school programming accurately.
  • Assist with organizing and facilitating school events and activities.
  • Collaborate with outside agencies efficiently when appropriate.
  • Maintain accurate budgets and provide current information when requested.
  • Promote a safe and supportive learning environment.
  • Perform data entry of student registrations into Skyward and shared attendance programs.
  • Organize graduation details and order supplies for the building.
  • Answer office phone and respond to messages.
  • Greet building visitors and direct them to the proper location.

Requirements

  • High School diploma required plus two or more years of post-secondary education/training in business administration, administrative office management, accounting, communications, computer software, mathematics or related fields preferred.
  • Five or more years of demonstrated secretarial experience with two years as an office manager or administrative assistant.
  • Minimum typing speed of 60 alpha/numeric wpm.
  • Proficient in Microsoft Office Suite and database management software.
  • Demonstrated success in office and/or project management.

Nice-to-haves

  • Experience in office administration and accounting.
  • Knowledge of business English, spelling, and punctuation.
  • Ability to design and manipulate database information via queries.
