Responsibilities

  • Perform clerical, secretarial, and administrative duties in support of the school or department.
  • Provide full administrative assistance and secretarial service.
  • Give secretarial, informational, and emotional support to parents and students.
  • Answer telephone calls, provide information to callers, take messages, and forward calls as appropriate.
  • Greet visitors to the building courteously, determine their needs, and provide information or directions.
  • Assist students as needed and confirm appointments and meetings.
  • Contact parents and students regarding absences from school.
  • Develop and implement office procedures to ensure the efficiency of office operations.
  • Maintain accurate and timely student records, including grades, credits, and immunization history.
  • Maintain office filing systems and various databases and reports.
  • Perform bookkeeping procedures and track district accounts; reconcile accounts and records.
  • Prepare and process reports requiring research, computation, and compilation.
  • Process and input data for student registration and schedules.
  • Provide backup assistance to other office staff as needed.
  • Run student transcripts and lists using database systems and look up class schedules as needed.
  • Set up, file, and sort a variety of documents, including sensitive and confidential information.
  • Take dictation for official meetings, prepare minutes, and handle confidential documents.

Requirements

  • High school diploma or GED.
  • Ability to communicate effectively verbally and in writing.
  • Proficiency in computer skills, including office productivity applications.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and manage simultaneous demands.
  • Demonstrated ability to work well with others in a team setting.
