About the position

The Events Manager at the Bradley Estate is a seasonal role that reports directly to the Property Director. This position is crucial for delivering exceptional visitor service during the WinterLights event, which is a signature seasonal event at the estate. The Events Manager will collaborate closely with the Property Director, Stewardship Manager, and Event Technician to oversee all aspects of the event, from set-up to breakdown. The role requires a proactive approach to managing event staff and volunteers, executing a comprehensive staffing plan, logistics plan, and master schedule, while also managing a budget that includes revenue targets and spending limits. The position is full-time, requiring 40 hours per week, and will commence as early as August 15th, continuing until January 31st, with the possibility of extension based on conditions. The installation phase runs from September 1st to November 27th, followed by the event itself from November 29th to January 5th, and concluding with the breakdown from January 6th to January 31st. The Events Manager will be responsible for ensuring that all deliverables are met on time, coordinating with statewide engagement and events staff, and actively participating in the physical setup of the show, which includes moving elements out of storage and testing lights and displays. During the event, the manager will serve as the shift manager, ensuring smooth operations and excellent visitor experiences. After the event, the manager will oversee the breakdown process, ensuring efficient storage of display items and completing final reporting on revenue and visitor feedback.

Responsibilities

  • Manage all day-to-day aspects of set-up and installation for WinterLights.
  • Ensure deliverables are met in a timely manner to meet strict set-up deadlines.
  • Develop and execute a staffing plan and master schedule.
  • Coordinate with statewide engagement and events staff to align the Bradley Estate with organizational priorities.
  • On-board and coordinate seasonal event staff and volunteer core.
  • Purchase and stock inventory for concessions and gift shop.
  • Complete all permitting and site inspection requirements per the town of Canton.
  • Actively participate in physical set-up of the show, including moving show elements and testing lights.
  • Serve as the shift manager each night during WinterLights, ensuring daily operations run smoothly.
  • Manage staffing needs throughout the event, ensuring all critical roles are filled.
  • Monitor inventory and stock list for concession stand and gift shop, placing new orders as needed.
  • Demonstrate leadership to troubleshoot throughout the show and deploy staff effectively.
  • Represent the Trustees to visitors, offering insight into the organization's mission and experiences.
  • Coordinate site logistics prior to and during weather events to ensure safety.
  • Manage breakdown and clean-up, developing a succinct schedule for all displays.
  • Complete final reporting to Trustees statewide staff, including revenue and visitor feedback.

Requirements

  • Excellent people skills to lead, inspire, and motivate staff and volunteers.
  • Previous staff management experience is critical.
  • Previous events management experience is preferred.
  • Proven ability to work independently and collaboratively as a team member.
  • Demonstrated ability to complete assigned tasks and projects, meet deadlines, and manage multiple tasks.
  • Previous budget management experience is highly desirable.
  • Strong commitment to the mission of The Trustees of Reservations.
  • Ability to work nights and weekends is required.
  • Must be willing to climb ladders and lift heavy objects.
