About the position

The Seasonal HR Administrative Support role at KOHLS is designed to contribute to the operational outcomes of the supply chain human resources team. This position involves executing various processes, performing data entry, and providing support and solutions to both internal partners and external vendors. The role is full-time and seasonal, with the potential to last until the end of December 2024. The work schedule is Monday to Friday, with occasional weekend flexibility required, and the first shift is scheduled between 8 am and 4 pm. In this position, the employee will be responsible for communicating with Distribution Centers, E-Fulfillment Centers, and Corporate areas, ensuring timely and appropriate responses to inquiries and questions in a professional manner. This includes drafting written responses for all levels of management, key resources, and associates. The role also involves delivering basic operational support, gathering information, and resolving issues of limited scope. The employee will monitor cases for escalated inquiries or questions that require further research or processing and will escalate issues to the Coordinator, Analyst, or Team Leader as necessary. Additionally, the role aims to increase efficiency through process support to positively affect business outcomes. The employee will contribute to knowledge sharing within the Supply Chain HR network by providing feedback for process and technology improvements. They will maintain, compile, and interpret data to produce records, reports, new forms, and other correspondence using various software programs. Attention to detail is crucial as the employee will be responsible for pulling, categorizing, and distributing information for business partners. The role also supports HR initiatives such as Peak Hiring, Incentives, and various projects, and includes creating and maintaining internal process documents while training new teammates on established processes.

Responsibilities

  • Communicates with Distribution Centers, E-Fulfillment Centers, and Corporate areas.
  • Ensures timely and appropriate responses to inquiries and questions in a professional manner.
  • Delivers basic operational support and input, gathering information and resolving issues of limited scope.
  • Monitors cases for escalated inquiries or questions that need research or processing.
  • Escalates issues to Coordinator, Analyst, or Team Leader.
  • Contributes to knowledge sharing within the Supply Chain HR network by providing feedback for process and technology improvements.
  • Provides efficient and accurate support to assist the Network in achieving goals.
  • Maintains, compiles, and interprets data to produce/create records, reports, new forms, and other correspondence utilizing various software programs.
  • Displays attention to detail while pulling, categorizing, and distributing information for business partners.
  • Supports HR initiatives such as Peak Hiring, Incentives, and projects.
  • Creates and maintains internal process documents.
  • Trains new teammates on our processes.
  • Completes daily administrative tasks to support HR processes such as new hire documentation, onboarding, absence management, Workday transactions, terminations, scheduling, and timekeeping.
  • Sets up, maintains, and audits relevant HR records such as timekeeping, attendance, pre-employment screenings, and I-9s.
  • Accurate recording of HR activity in HR systems.

Requirements

  • High School Diploma or equivalent.
  • Prior experience in Human Resources, Payroll, Scheduling, or other Administrative field.
  • Ability to maintain confidentiality.
  • Ability to multi-task using multiple applications and technologies.
  • Proficiency in spreadsheet and computer navigation skills.
  • Basic reading and math skills.
  • Ability to work as part of a team and interact effectively with others.
  • Regular and prompt attendance.
  • Ability to multitask while adapting to fluctuating priorities.

Nice-to-haves

  • Minimum 1 year experience in Human Resources, Payroll, or Scheduling.
  • Experience with timekeeping systems (Kronos) and human capital management systems (Workday).
