About the position

The Production Assistant (PA) plays a crucial role within the Enchant team, primarily supporting the Event Production Manager in various logistical and administrative tasks. This position is essential for ensuring the smooth execution of events at Pay Pal Park in San Jose, particularly during the busy holiday season. The PA will be responsible for tracking vital information related to the event's schedule, scope, cost, staffing, and other logistical elements. This role requires a proactive approach to assist the Heads of Departments with their daily tasks and to ensure that all aspects of the event production are running efficiently. The PA will be involved in a variety of responsibilities, including managing the daily tasks of the Runners, who are essential for the operational flow of the event. The commitment for this position is significant, as the PA must be prepared to work during critical periods, including the Load-in and Load-out phases, as well as on major holidays such as Thanksgiving, Christmas Eve, Christmas Day, New Year's Eve, and New Year's Day. There may also be opportunities to work during the Run of Show, depending on the needs of the event. In addition to logistical tracking, the PA will assist in administrative duties, support the Production Manager in monitoring the progress of load-in activities, and help the Production Site Manager with tracking shipments, sourcing materials, and making site purchases. This multifaceted role requires a detail-oriented individual who can adapt to the fast-paced environment of event production and contribute to the overall success of the events.

Responsibilities

  • Assist the Event Production Manager in tracking all information related to schedule, scope, cost, and staffing.
  • Carry out necessary administrative duties as required.
  • Manage and assist Runners in their daily tasks.
  • Support the Production Manager in tracking the progress of load-in activities.
  • Assist the Production Site Manager with tracking shipments, sourcing materials, and site purchases.
  • Support all Heads of Departments as needed onsite.

Requirements

  • 2+ years of experience in the Exhibit/Event/Entertainment industry.
  • Project assistant/coordination experience within the entertainment industry.
  • Highly organized and detail-oriented.
  • Excellent verbal and written communication skills.
  • Adaptability and flexibility.
  • Good working knowledge of Google Sheets and managing spreadsheets.
