About the position

The Secretary for ACE Programs at Genesee Community College is responsible for performing complex secretarial tasks for an administrative head within an educational or governmental agency. This role requires a high degree of mature judgment and a thorough understanding of program policies and procedures. The work is performed under general instructions from a superior, allowing for considerable independence in decision-making while executing assignments. The position may involve supervisory responsibilities, which will be carried out within well-defined limits. The Secretary will engage in various tasks that support the administrative head, including acting as a personal secretary, managing correspondence, and maintaining confidential personnel data. Typical work activities include acting as a liaison between agency officials and public/non-public officials, setting up meetings and appointments, and handling confidential matters related to personnel. The Secretary will also be responsible for processing new employees, operating word processing and other high-tech equipment, and maintaining office records unique to the administrator's office. This includes creating departmental reports and keeping complex records of agency activities. The role is essential in ensuring the smooth operation of the office and supporting the administrative head in their duties.

Responsibilities

  • Act as personal secretary to an administrative head of an educational or governmental agency.
  • Compose letters in reply to routine inquiries for information.
  • Serve as a liaison between agency officials and public/non-public officials.
  • Set up meeting dates, appointments, and manage confidential personnel matters.
  • Maintain and process personnel data and information, including evaluative reports and disciplinary proceedings.
  • Process new employees in orientation, training, and related matters.
  • Operate word processing equipment and other high-tech equipment as necessary.
  • Maintain office records and clerical procedures unique to the administrator's office.
  • Manipulate database information to create departmental computerized reports.
  • Prepare reports and maintain records as required.
  • Perform various clerical and typing functions as needed.
  • Keep complex records of agency activities.

Requirements

  • Graduation from high school or possession of an appropriate equivalency diploma recognized by the NYS Department of Education.
  • Graduation from a regionally accredited or NYS registered two-year college with an Associate's degree in Secretarial Science, Office Technology-Secretarial or related field, AND one (1) year of full-time, paid clerical experience including typing; OR
  • Completion of a minimum of 65 semester credit hours from a regionally accredited or NYS registered college or university, including a minimum of 24 semester credit hours in Office Technology AND one (1) year of full-time, paid clerical experience including typing; OR
  • Three (3) years of full-time, paid clerical experience involving typing.
