About the position

The Department Secretary role at Rio Tinto is a permanent position based in Central Park, Perth, designed to support the Maintenance Planning & Engineering (MP&E) Managers and their broader departments. This interesting and varied role involves providing comprehensive administrative and secretarial services, ensuring that the department operates efficiently and effectively. The successful candidate will report directly to the Divisional Secretary for MP&E and will be responsible for a range of tasks that contribute to the overall success of the team. In this role, the Department Secretary will be expected to support a safe, respectful, and inclusive workplace for all employees and contractors. This includes contributing to a culture of continuous improvement by supporting the implementation of improvement opportunities and fostering positive relationships with both internal and external stakeholders. Effective communication is key, as the Department Secretary will be responsible for collating and delivering communications to stakeholders while adhering to all Rio Tinto standards, policies, and procedures. The role also requires planning, managing, and delivering work to a high standard, often with some leader guidance and support. Specific responsibilities include managing diaries, workflow approvals, travel arrangements, raising purchase orders, credit card reconciliations, and coordinating team functions, meetings, events, and workshops. The Department Secretary will also contribute to the creation and delivery of reporting and planning activities, support learning and development initiatives, and engage with internal and external business partners to ensure smooth operations.

Responsibilities

  • Support a safe, respectful, and inclusive workplace for employees and contractors.

  • Collate and deliver effective communications to stakeholders.

  • Provide team administration and secretarial services including diary management, workflow approvals and travel arrangements.
  • Raise purchase orders and requisitions for the team.
  • Conduct credit card reconciliations.
  • Coordinate arrangements for team functions, meetings, events and workshops.
  • Contribute to creation and delivery of reporting and planning activities.
  • Provide oversight and support for learning and development and training compliance.
  • Actively contribute as a valued member of the team.
  • Work effectively with other administrative roles to ensure efficient and effective operation and communications.
  • Engage with internal and external business partners.

Requirements

  • Previous experience providing administrative and secretarial support up to an executive level.
  • Excellent organisational skills.
  • High level of attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to problem solve, prioritise, multi-task and work unsupervised.
  • Advanced skills in the Microsoft Office suite of applications.
  • Certificate in business administration or similar (preferred but not essential).
