About the position

The Executive Administrative Secretary for the OBGYN department at UMass Memorial Health is responsible for providing high-level administrative support to ensure efficient operations. This role involves coordinating activities, managing schedules, producing correspondence, and assisting with various administrative processes. The position requires strong organizational skills and the ability to handle confidential information while supporting the department's goals and initiatives.

Responsibilities

  • Coordinate activities and assigned personnel, implementing new or revised systems and procedures.
  • Orient and train new employees in procedures and provide ongoing instruction.
  • Schedule, distribute, and monitor the flow of work for assigned employees.
  • Produce correspondence, memos, and reports from dictation and drafts, ensuring quality and accuracy.
  • Compose standard form letters for supervisor's responses to inquiries.
  • Arrange meetings and activities for the supervisor, making travel arrangements as needed.
  • Coordinate large internal and external meetings, preparing agendas and taking minutes as necessary.
  • Provide information and assistance to high-level internal and external contacts.
  • Process standard and non-standard business office administrative paperwork.
  • Assist in maintaining the departmental operating budget report and documentation.
  • Set up and maintain confidential files and records for efficient retrieval.
  • Ensure adequate inventory of office supplies and maintenance of office equipment.
  • Participate in performance improvement initiatives.

Requirements

  • Associate's degree in Secretarial Science or equivalent.
  • 3-5 years of secretarial/administrative support experience.
  • Proficiency in word processing, spreadsheet, presentation graphics, and database software.

Nice-to-haves

  • Experience with project management and scheduling software.
  • Familiarity with budgetary control applications.
