About the position

The Secretary II position at Mount Sinai West within the Cardiovascular Service Line is a full-time role that involves performing a variety of secretarial duties under general supervision. The individual in this role will be expected to adhere to the philosophy, standards, objectives, and policies of both the Department and the Hospital Center. This position is crucial in ensuring the smooth operation of the department by managing administrative tasks effectively and efficiently. The responsibilities of the Secretary II include answering telephone calls, screening them, taking messages, and providing information in accordance with established policies. The role also involves typing correspondence, memos, reports, and minutes, as well as proofreading typed materials, making corrections, and recommending changes. The Secretary will handle incoming and outgoing mail, which includes opening, sorting, and prioritizing correspondence, as well as answering routine inquiries. Additionally, the Secretary will maintain appointment books for meetings, patients, and travel arrangements, and will be responsible for arranging meetings and maintaining files. In this role, the Secretary will assist in setting up office systems, order office and clinical supplies as requested, and help in the care and maintenance of department equipment. The Secretary is expected to maintain established hospital, departmental, and unit policies, procedures, objectives, quality assurance, safety, environmental, and infection control standards. Attendance at required meetings, including in-service meetings, is also part of the job. The Secretary will apply shorthand and/or speedwriting techniques to compile information dictated and transcribe recorded dictation, as well as prepare charts and time tables and assist with the preparation of materials, agendas, notes, and handouts.

Responsibilities

  • Demonstrates the ability to perform clinical/technical/service/administrative tasks.

Requirements

  • High School diploma or equivalent education.
  • Some prior training in secretarial sciences is a plus.
  • Prior experience as a Clerk Typist or any clerical responsibilities within a hospital environment.
