About the position

As a Secretary III in the Pathology department, you will play a crucial role in supporting our mission to transform healthcare and serve as a leader of positive change. This part-time position requires a dedicated individual who can provide clerical and telephone support to the department while effectively navigating department-specific software applications. You will assist in the administration of Anatomic Pathology test orders, manage patient testing results, and ensure that all inquiries related to test orders and results are handled efficiently and accurately. Your responsibilities will include reviewing requests for autopsies, ensuring that all documentation is in order, and accessioning autopsies into the EPIC system. You will also be responsible for departmental reporting for Anatomic Pathology and maintaining custody of pathology materials to ensure their location and availability when necessary. Facilitating the retrieval of pathology materials at the request of pathologists, physicians, and patients is essential, as is maintaining HIPAA compliance in all aspects of incoming requests and inquiries. In addition to these tasks, you will process billing and obtain accurate demographic and insurance information for third-party accounts receivable and payable. You will field all incoming telephone calls and handle customer service-related duties concerning Anatomic Pathology and laboratory inquiries. Maintaining all office files, records, and system documentation according to department policy is also part of your role. You will prepare and review oncology conferences, retrieving reports and information necessary for pathology presentations. Prioritizing and completing all required duties with efficiency and accuracy is critical, along with performing any other duties as assigned.

Responsibilities

  • Provide assistance and guidance to managers/staff in need of general department information.
  • Provide clerical and telephone support to the department and perform computer input of data.
  • Navigate department-specific software applications to assist in the administration of Anatomic Pathology test orders.
  • Review requests for autopsy, ensure documentation is in order, and accession autopsy into the EPIC system.
  • Conduct departmental reporting for Anatomic Pathology and maintain custody of pathology materials.
  • Facilitate retrieval of pathology material at the request of pathologists, physicians, and patients.
  • Process billing and obtain accurate demographic and insurance information for third-party accounts receivable/payable.
  • Field all incoming telephone calls and customer service-related duties regarding Anatomic Pathology/laboratory inquiries.
  • Maintain all office files, records, and system documentation according to department policy.

Requirements

  • High School diploma or GED equivalent.
  • Proficiency with medical vocabulary/transcription and a general understanding of hospital policies and procedures.
  • General computer skills, including order entry and basic proficiency with Microsoft Office and Google.
  • Excellent written and verbal communication skills.
  • Ability to work with patients and their families, demonstrating flexibility and adaptability.

Nice-to-haves

  • Completion of a Secretarial Course and/or a Medical Terminology Course is preferred.
  • Previous experience as a Nursing Unit Secretary in a hospital setting is strongly preferred.
