The Secretary III position is responsible for performing confidential secretarial duties within the Internet Crimes Against Children Unit at the State Bureau of Investigation in Oklahoma City, OK. Responsibilities

  • Perform confidential secretarial duties for an agency official or administrator.
  • Prepare prosecution reports using various records management systems, Adobe Acrobat, Excel, and databases.
  • Review reports for grammatical and formatting errors and forward them for approval.
  • Maintain ICAC memorandums of understanding with affiliate agencies and process funding requests.
  • Ensure affiliate agencies complete reporting requirements and maintain budget spreadsheets for funding requests.
  • Assist the ICAC Commander in required reporting to the DOJ.
  • Open, scan, read, and distribute mail; compose official correspondence for supervisor's signature.
  • Screen telephone calls and provide information or refer callers to appropriate staff members.
  • Receive visitors and answer inquiries personally or refer to appropriate officials.
  • Arrange special conferences and meetings; maintain supervisor's calendar and travel arrangements.
  • Research, assemble, and summarize materials for administrative board or commission consideration.
  • Take and transcribe dictation of confidential, technical, or legal materials.
  • Appear before legislative committee hearings to present facts related to agency programs and budget.
  • Draft proposed legislation and propose budget items; confer with administrators on staffing and budget matters.
  • Supervise administrative or clerical assistants.

Requirements

  • Five years of clerical office work, including two years as an office manager, executive assistant, or confidential secretary.
  • Knowledge of business communications procedures and techniques.
  • Proficiency in spelling, punctuation, and business English.
  • Familiarity with office methods and computer operations.
  • Ability to handle confidential work with tact and discretion.
  • Skill in typing accurately at a rate of fifty words per minute.
  • Ability to establish and maintain working relationships with others.
