About the position

The Assistant for the Walt Disney Studios Digital Marketing team plays a crucial role in supporting multiple Vice Presidents in overseeing theatrical and streaming campaigns. This position is characterized by a fast-paced and multi-faceted environment that demands a high level of creativity, improvisation, and, most importantly, exceptional organization and communication skills. The Assistant will be responsible for a variety of administrative tasks that are essential for the smooth operation of the marketing team. Key responsibilities include providing overall administrative support for the Vice Presidents, which encompasses answering phones, managing busy calendars, and coordinating day-to-day meetings. The Assistant will serve as the primary contact for all incoming communications, including phone calls, mail, and email. Meeting coordination is a significant aspect of the role, requiring the Assistant to handle logistics, preparation, invitations, and materials for various meetings. In addition to calendar management, the Assistant will coordinate travel arrangements and long-range planning for the Vice Presidents. Filing of reference materials, background information, and overviews will also be part of the daily tasks. The preparation of business-related expenses using the SAP system is essential, ensuring that expense reports are completed and filed promptly. The Assistant will also be responsible for ordering supplies and processing invoices as necessary, again utilizing the SAP system. Collaboration is key in this role, as the Assistant will partner extensively with internal departments and external vendors to gather and provide necessary information, materials, approvals, and updates. The Assistant will assist in creating decks and presentations, contributing to the overall effectiveness of the marketing campaigns. This position requires a proactive approach, with the ability to multitask and manage multiple projects simultaneously while maintaining a positive attitude and flexibility.

Responsibilities

  • Provide overall administrative support for Vice Presidents including answering phones and maintaining busy calendars.
  • Serve as the primary contact for all incoming phone calls and communications (both mail and email).
  • Coordinate meeting logistics, preparation, invitations, and materials.
  • Manage calendars and coordinate travel arrangements and long-range planning.
  • File reference materials, background, and overview information.
  • Prepare business-related expenses using SAP and ensure timely filing of expense reports.
  • Order supplies/materials and process invoices using SAP.
  • Partner with internal departments and external vendors to provide and/or receive necessary information and materials.
  • Assist with the creation of decks and presentations.
  • Support departmental projects as needed and troubleshoot occasional facility issues.

Requirements

  • Minimum of 1 year administrative experience supporting executives in a corporate environment.
  • Excellent written and verbal communication and interpersonal skills.
  • Detail-oriented with superior organization skills.
  • Competency in general administrative skills including answering the phone and filing.
  • Proficiency in Microsoft Word, Excel, Database Management, PowerPoint, Keynote, and Outlook.
  • Technology and social media savvy with the ability to pull analytics from social media.
  • Ability to work overtime when special projects dictate.
  • Overall working knowledge with the SAP system is desired.
  • Team player willing to work with other assistants and staff at all levels.
  • Organized in thinking and execution to maintain efficient office, files, database, and information.
  • Ability to multitask with urgency and maintain a positive attitude.
