About the position

The Secretary, Legal position provides essential legal secretarial and administrative support to attorneys within the North Slope Borough. The role involves preparing legal documents, maintaining filing systems, conducting research, and serving as a liaison between various departments and agencies. The position requires a high level of confidentiality and organizational skills to manage both electronic and paper files effectively.

Responsibilities

  • Prepare and file legal documents and general correspondence including briefs, contracts, or court papers.
  • Ensure accuracy and expediting of processed documents and correspondence.
  • Maintain general and legal filing systems, both current and archived.
  • Update and track a variety of electronic and paper files, records, reports, and related documents.
  • Conduct research for attorneys and staff using various tools and databases.
  • Serve as a liaison between agencies, programs, and departments.
  • Maintain absolute confidentiality of work-related issues, personnel records, and Borough information.
  • Interview callers and make appropriate referrals.
  • Maintain and update the law library.
  • Handle routine mail and distribution within the office.
  • Coordinate and schedule travel arrangements, meetings, and appointments as requested.
  • Prepare and assemble reports; may prepare timesheets for employees and keep daily records of attendance.
  • Process documents and maintain department document logs as required.
  • Prepare, track, and process a variety of NSB forms for accounting, inventory, and personnel-related purposes.
  • Perform other duties as assigned.

Requirements

  • High school graduate or G.E.D., or a combination of 12 years of education and related work experience.
  • Two years of secretarial or clerical work experience.
  • Two years of work experience with a PC using common software applications.
  • Ability to obtain a valid Alaska Driver's license that meets North Slope Borough insurance criteria within the six-month probationary period.
  • Ability to pass a personal-history investigation to determine character traits and habits indicative of moral character.
