About the position

The Secretary for Mental Health Services at the James A. Haley VA Healthcare System plays a crucial role in supporting the Associate Chief of Staff (ACOS) and the Mental Health and Behavioral Sciences Service (MH&BSS). This position involves a variety of administrative tasks, including managing communications, scheduling appointments, and assisting with clerical duties to ensure the smooth operation of the office. The Secretary is responsible for handling sensitive information, coordinating meetings, and providing support to the ACOS and other staff members.

Responsibilities

  • Participate in gathering information for administrative reports and resolving clerical issues.
  • Perform clerical support and typing duties for the ACOS and MH&BSS staff.
  • Screen and receive calls for the ACOS office and respond to inquiries.
  • Exercise control over the ACOS's daily appointments and commitments.
  • Arrange conferences and meetings, including preparing agendas and notifying participants.
  • Develop background information and compose drafts for meetings.
  • Handle sensitive medical information regarding veterans and employees.
  • Assemble and transmit agendas for monthly meetings of the Clinical Executive Board and Council of Chiefs.
  • Maintain timecards for MH&BSS Supervisors and advise on timekeeping rules.
  • Prepare and maintain schedules for on-call responsibilities and case conferences.
  • Screen patient requests for treatment reviews and resolve issues as needed.
  • Receive and manage correspondence for the ACOS office, ensuring timely responses.
  • Make travel arrangements for the ACOS, including scheduling and reservations.
  • Contact the National Clozapine Coordinating Center for patient medication arrangements.
  • Assist in preparing grant requests and annual reports.

Requirements

  • One year of specialized experience equivalent to at least GS-05 level in administrative support roles.
  • Experience coordinating activities with administrative support staff and departments.
  • Ability to maintain automated systems for tracking project milestones and compliance strategies.
  • Proficiency in typing a variety of documents with correct grammar and style.
  • Experience performing timekeeping operations and managing program statistics.
