About the position

The Secretary (Office Automation) position serves as the principal office assistant for the Manpower, Personnel and Services at HQ Air Combat Command. The role involves performing various administrative and clerical duties to support the Director, Deputy Director, and Division Chiefs, ensuring efficient office operations and effective communication within the organization.

Responsibilities

  • Maintain the Director's, Deputy Director's, and Division Chief's daily calendars, making appointments and arranging meetings.
  • Attend meetings and presentations to the Director, transcribing proceedings and necessary document changes.
  • Take and transcribe verbatim telephone calls and office conferences, providing notes to conferees and staff members.
  • Review and process incoming and outgoing correspondence, determining which correspondence requires the Director's attention.
  • Prepare a variety of personal and executive correspondence, reports, and documents from information obtained from staff and files.
  • Compose non-technical correspondence such as requests for information and letters of appreciation for the Director or Deputy Director.
  • Receive telephone calls and greet visitors, determining the nature of calls and appropriate action based on knowledge of the organization.
  • Conduct initial reviews of Top Secret and Secret JPAS Security Clearances and maintain suspense files for unclassified document control.
  • Develop and maintain office procedures and records/files to ensure effective office operation.
  • Utilize multiple office automation software to produce a wide range of documents, including complex forms and databases.

Requirements

  • U.S. Citizenship is required.
  • At least one year of specialized experience at the GS-07 level or equivalent, performing administrative and clerical duties.
  • Knowledge of extensive rules, procedures, and operations related to secretarial and clerical assignments.
  • Ability to communicate effectively, both orally and in writing.
  • Skill in typing with a minimum speed of 40 WPM.

Nice-to-haves

  • Experience with office automation software programs and tools.
  • Familiarity with military or federal government operations.
