The Principal's Secretary at Grand River Academy plays a crucial role in supporting the school's administration and ensuring smooth operations within the school environment. Operating under the general supervision of the Principal or their designee, the Secretary is responsible for a variety of secretarial and administrative duties that are essential for the effective functioning of the school. This position serves as a technical resource for various stakeholders within the district, including administrators, staff, teachers, and students, requiring the ability to interpret policies and provide accurate information. As a first point of contact for the public, staff, students, and parents, the Secretary must facilitate positive interactions and maintain a welcoming atmosphere in the school. The Secretary is tasked with maintaining accurate financial records, including Student Body Activity (SBA) accounts, processing deposits, and managing accounts payable activities. This role involves administering the school's petty cash fund and procurement card transactions, as well as reconciling monthly bank statements and preparing financial reports. The Secretary also plays a key role in monitoring departmental instructional budgets and making allocation recommendations based on annual budgets. In addition to financial responsibilities, the Secretary provides administrative support through various operational tasks, such as scheduling building usage, processing work orders, and maintaining communication with parents and the community. The position requires exceptional customer service skills, as the Secretary assists with inquiries related to student attendance, visitor management, and general school operations. Furthermore, the Secretary coordinates substitute staff for absent employees and oversees the ordering and processing of supplies for the school. Overall, the Principal's Secretary is an integral part of the school’s administrative team, ensuring that the school operates efficiently and effectively while supporting the educational mission of Grand River Academy.

Responsibilities

  • Maintain accurate Student Body Activity (SBA) accounts on district financial software.
  • Process and record all SBA deposits and accounts payable activity.
  • Administer deposits to and payments from the school's petty cash fund and SBA checking account.
  • Reconcile the weekly "Plastic is Good" reports as the school's Procurement Card Administrator.
  • Input student fee receivable information on the district's student fee software accurately and timely.
  • Ensure fees reflect student course schedules and collect past due fees.
  • Reconcile monthly bank statements and prepare financial reports for instructional and SBA fund accounts.
  • Make allocation recommendations for departmental instructional funds based on annual budgets.
  • Support front counter and office traffic, providing assistance on various topics.
  • Act as a liaison for school administration, facilitating customer service for staff, parents, and visitors.
  • Provide administrative support through operational tasks such as scheduling, issuing keys, and processing work orders.
  • Assist the Principal and other administration with creating letters, filing, and coordinating information.
  • Coordinate and direct substitutes for absent support staff employees.
  • Oversee ordering, tracking, receiving, and processing of supplies and materials requests.

Requirements

  • High school diploma or equivalent, including courses in office technology and office skills.
  • Minimum of two years' experience in an office position; experience in a School Secretary position preferred.
  • Bilingual oral and written skills in English/Spanish is desirable.
  • Criminal background check required for hire.
  • Valid Colorado Driver's License required.
  • CPR and First Aid certifications required within 90 days of hire.
  • Exceptional customer service, listening, and public relations skills.
  • Exceptional oral communication and phone etiquette skills.
  • Well-developed interpersonal relationship building skills.
  • Strong written communication skills.
  • Intermediate personal computer and keyboarding skills.
  • Basic Math, Bookkeeping, and Accounting skills.
  • Ability to manage multiple tasks with frequent interruptions in a timely manner.
