About the position

The Secretary to the Chief Financial Officer (CFO) at West Oso ISD plays a crucial role in organizing and managing the routine work activities of the Business Office. This position is designed to provide comprehensive clerical support to the CFO and other staff members, ensuring that the administrative functions of the department run smoothly and efficiently. The Secretary will be responsible for a variety of tasks that include preparing correspondence, scheduling appointments, and maintaining the CFO's calendar. This role requires a high level of organization and attention to detail, as the Secretary will also be tasked with setting up meetings, making travel arrangements, and managing the office's filing system. In addition to clerical support, the Secretary will handle reception duties, including answering incoming calls, greeting visitors, and responding to inquiries from the public and staff. The position also involves compiling data for state and local reports, preparing purchase orders, and maintaining budget records. The Secretary must comply with all relevant policies and maintain confidentiality regarding district information. This role does not have supervisory responsibilities but requires the ability to work independently and manage multiple tasks effectively. The work environment may involve prolonged sitting and occasional bending or lifting of light items. The Secretary will use standard office equipment, including computers and printers, and must be able to maintain emotional control under stress while dealing with frequent interruptions. This position is essential for the efficient operation of the Business Office and requires a dedicated individual with strong organizational skills and a commitment to supporting the CFO and the district's goals.

Responsibilities

  • Prepare correspondence, forms, manuals, reports, presentations, and other documents for the Business Manager.
  • Schedule appointments and maintain the Business Manager's calendar.
  • Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
  • Make travel arrangements including making hotel reservations and turning in conference registration forms.
  • Open and route business office mail.
  • Maintain an accurate filing system.
  • Answer incoming calls and greet visitors. Respond to routine inquiries from the public and staff and refer appropriate inquiries or problems to other administrators.
  • Compile pertinent data used to prepare various required state and local reports.
  • Prepare purchase orders and payment authorizations as directed.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
  • Order and maintain inventory of office supplies and program equipment.
  • Monitor and process personnel time records including leave requests and reports and submit in accordance with district procedures.
  • Comply with policies established by federal and state laws and regulations, and local board policy.
  • Maintain confidentiality of all district information.

Requirements

  • High school diploma or College Hours Preferred.
  • Three years of secretarial experience, preferably in a public education environment.
