About the position

The Secretary to the Chief Financial Officer (CFO) at WEST OSO ISD plays a crucial role in organizing and managing the routine work activities of the Business Office. This position is nonexempt and reports directly to the CFO. The primary purpose of this role is to provide comprehensive clerical support to the CFO and other staff members, ensuring that the administrative functions of the department run smoothly and efficiently. The Secretary will be responsible for a variety of tasks that include preparing correspondence, scheduling appointments, and maintaining the CFO's calendar. Additionally, the role involves setting up meetings, making travel arrangements, and managing the business office mail. The Secretary will also compile data for state and local reports, prepare purchase orders, and maintain an accurate filing system. This position requires a high level of organization and attention to detail, as the Secretary will be handling sensitive information and ensuring compliance with federal and state laws as well as local board policies. The role demands the ability to work under pressure, manage multiple tasks simultaneously, and maintain confidentiality at all times. In terms of physical demands, the Secretary will be expected to perform tasks that involve prolonged sitting, occasional bending, and light lifting. The work environment may require occasional district-wide travel and the ability to work irregular hours. The Secretary must also be able to maintain emotional control under stress and work with frequent interruptions, making strong interpersonal skills essential for success in this role.

Responsibilities

  • Prepare correspondence, forms, manuals, reports, presentations, and other documents for the Business Manager.
  • Schedule appointments and maintain the Business Manager's calendar.
  • Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
  • Make travel arrangements including making hotel reservations and turning in conference registration forms.
  • Open and route business office mail.
  • Maintain an accurate filing system.
  • Answer incoming calls and greet visitors, responding to routine inquiries from the public and staff.
  • Compile pertinent data used to prepare various required state and local reports.
  • Prepare purchase orders and payment authorizations as directed.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Perform routine bookkeeping tasks and maintain department budget records.
  • Order and maintain inventory of office supplies and program equipment.
  • Monitor and process personnel time records including leave requests and reports and submit in accordance with district procedures.
  • Comply with policies established by federal and state laws and regulations, and local board policy.
  • Maintain confidentiality of all district information.

Requirements

  • High school diploma or College Hours Preferred.
  • Three years of secretarial experience, preferably in a public education environment.
