About the position

An incumbent to a position in this class performs secretarial services for and under the personal supervision of the Commissioner of Administration and Finance. The duties of this position involve the performance of responsible clerical work to relieve the Commissioner of administrative detail, arranging conferences and relieving him of contacts which should properly be made with subordinate officials. Work is performed under general supervision, receiving detailed instructions where policies have not been determined. Takes, transcribes and types correspondence, letters and various documents or materials relating to specialized/technical fields; Types various forms, departmental orders, vouchers, etc.; Receives and transmits messages and information to and from the Commissioner; Arranges conferences, appointments, and meetings; maintains schedule thereof; Handles confidential information to and from the Commissioner; maintains confidential records; Prepares and maintains departmental records on personnel assigned; prepares time reports and payrolls; Assists in the preparation and typing of the Mayor's annual budget, financial reports, etc.; Maintains a confidential filing system pertaining to allocated positions, funding for various departments, personnel requisitions etc. Performs a wide variety of duties as may be required to assist the Commissioner of Administration and Finance in carrying out his duties; Performs related duties as required.

Requirements

  • Graduation from High School, GED or Equivalency Diploma.
  • Three years of full-time responsible clerical experience, including interaction with the public.
  • Ability to take dictation at 80 wpm and transcribe at a satisfactory rate.
  • Ability to operate a typewriter at 35 wpm.
  • Considerable knowledge of office terminology, procedures, and equipment.
  • Considerable knowledge of business arithmetic and English.
  • Ability to understand and carry out oral and written directions.
  • Ability to maintain records.
  • Physical condition commensurate with the demands of the position.
