About the position

The Medford Township Public Schools seeks a twelve month Secretary to the Director of Curriculum. The successful candidate should possess the following qualifications and skills to provide strong clerical support that assists the Director of Curriculum, Curriculum Supervisors, and Instructional Coach(es) with job-related tasks. This role is essential for allowing these leaders to devote maximum attention to improving overall instructional programs throughout the district. The position requires sensitivity to others' needs, maintaining confidentiality, and facilitating a collaborative and positive working environment at all times.

Responsibilities

  • Process incoming correspondence and facilitate all office communications including oral, written, telephone, fax, e-mail, etc.
  • Communicate with all constituent groups (e.g., staff, administrators, parents, other district representatives) in a professional and efficient manner.
  • Evaluate and process contracts for purchased services and consultative services.
  • Process and reconcile timesheets.
  • Create, manage and track budgetary accounts and line items to ensure expenditures are in line with approved funds.
  • Create, facilitate and refine processes to bring efficiency to the curriculum department and district for documentation of professional development activities, program registrations and scheduling of special events.
  • Maintain all student and staff records and information in accordance with department and state guidelines.
  • Work collaboratively to ensure the accurate and timely completion of required state reports.
  • Input and maintain data into NJDOE systems, as needed, to complete State reports and grant applications.
  • Participate in trainings, albeit in-person or online, to remain up to date on NJDOE requirements, system revisions, technology tools, etc.
  • Participate in the planning and coordination of summer programming.
  • Perform all other tasks as identified by the Director of Curriculum to support the overall assignments of the District and Curriculum Office.

Requirements

  • High school diploma; college level and/or secretarial experience/training desirable.
  • Proof of United States citizenship or legal resident alien status.
  • Required criminal history background check.
  • Knowledge of automated office equipment, office procedures, and experience with Google platforms.
  • Excellent organizational and record keeping skills.
  • Strong oral and written communication skills.
  • Demonstrate the ability to develop effective working relationships with staff, parents, and administrators.
  • Must be able to multi-task and/or prioritize, with attention to detail, in a fast-paced work environment.
  • Confidentiality required to process student/staff documents and records.
