About the position

The Secretary to the Director of Secondary Special Education is a vital role within the Fairport Central School District, providing comprehensive administrative and secretarial support to the Director of Special Education. This position requires a high level of confidentiality and the ability to communicate effectively with various stakeholders, including school district employees, parents, and external Pupil Services personnel. The Secretary will assist in ensuring that all department and program activities comply with legal, administrative, and district policy requirements. The role is essential in facilitating the smooth operation of the Special Education department, which includes scheduling meetings, processing individual education plans (IEPs), and maintaining accurate records of special education students. In this position, the Secretary will be responsible for scheduling Sub Committee on Special Education (Sub CSE) and Committee on Special Education (CSE) meetings, sending invitation letters to parents, and notifying case managers of CSE dates. The Secretary will also support the budget development process by having a working knowledge of the Special Education budget and budgeting procedures. This role acts as a resource for special education providers involved in the CSE process, ensuring that all necessary appointments and meetings are arranged and confirmed. The Secretary will maintain a current database and files of special education students, generate district-wide agendas, and finalize and disseminate meeting minutes. Additionally, the Secretary will monitor deadlines for documents and materials due to the Special Education Office and keep the Director informed of any impending deadlines. This position is crucial for the effective management of the Special Education department and requires a proactive approach to office duties and responsibilities as assigned by the Director of Special Education.

Responsibilities

  • Schedules Sub Committee on Special Education (Sub CSE) and Committee on Special Education (CSE) meetings, sends invitation letters to parents, and notifies case managers of CSE dates.
  • Processes and distributes finalized individual education plans (IEP).
  • Maintains a working knowledge of Special Education budget and budgeting procedures.
  • Supports the budget development process as needed.
  • Acts as a resource to special education providers facilitating the CSE process.
  • Arranges and confirms appointments and updates the Director for Special Education calendar.
  • Schedules a variety of meetings (Department, Lead Teacher, building-based, etc.) per the direction of the Director.
  • Maintains current database and files of special education students.
  • Provides information from Part 200 database for reports for planning purposes.
  • Generates district-wide agendas, finalizes and disseminates meeting minutes.
  • Generates parent notification letters for all proposed evaluations and changes to programming.
  • Monitors deadlines for documents and materials due to the Special Education Office and notifies the Director of Special Education of impending deadlines.
  • Monitors receipt of Parent Consent form for placement in special education and informs the Director of Special Education and Director of Pupil Services of the status of placement.
  • Performs various related office duties and other related office duties as assigned by the Director of Special Education.

Requirements

  • Currently holding Office Clerk II title OR be eligible to be reached as an Office Clerk II.
